JOB OPENING: HEALTHCARE OFFICE ADMINISTRATOR

Location: Medford, OR
Compensation: $23–$28 per hour (depending on experience) W2 + Benefits
Reports to: Operations Manager
Status: Full-Time, Salaried

MINIMUM QUALIFICATIONS

  • 2+ years of management experience in a healthcare-related field
  • Ability to supervise and motivate a small team
  • Excellent organizational skills and strong attention to detail
  • Comfortable working in a fast-paced, multitasking environment
  • Proficient in verbal and written communication
  • Ability to work independently and collaboratively
  • Familiarity with healthcare platforms such as WellSky or Viventium (preferred)

Responsibilities

ABOUT THE ROLE

We are seeking a highly organized, motivated, and flexible Healthcare Office Administrator to oversee administrative operations at our Medford location. In this critical role, you’ll lead a small team, drive operational efficiency, and ensure excellent support for both clients and caregivers.
You’ll be responsible for a wide range of tasks including staff coaching, communications monitoring, file auditing, KPI tracking, and much more — all contributing to a supportive, high-performance environment.

KEY RESPONSIBILITIES

Your responsibilities will include, but are not limited to:

  • Overseeing daily administrative operations and managing a team of 2+ employees
  • Ensuring all communications (calls, texts, emails) are answered timely and professionally
  • Auditing client and caregiver files in WellSky and OneDrive
  • Monitoring and following up on KPIs, service reports, and shift logs
  • Conducting staff check-ins, meetings, and performance reviews
  • Coordinating with other departments including scheduling, recruiting, and nursing
  • Managing office supplies, bill payments, and facility cleanliness
  • Supporting hiring, onboarding, training, and compliance requirements
  • Assisting with disciplinary actions and employee progression tracking
  • Occasionally supporting care visits or orientation as needed
