Job Title: Healthcare Receptionist Location: South Africa Job Type: Full-Time, Remote Working Hours: US Hours (9am-5pm EST) Salary: South African Rand (ZAR) We are seeking a compassionate, detail-oriented, and highly organized Healthcare Receptionist to join our team. This role is responsible for managing the patient intake process, maintaining accurate client records, and serving as the primary point of contact for families, BCBAs (Board Certified Behavior Analysts), and RBTs (Registered Behavior Technicians). The successful candidate will ensure all client information is entered accurately, coordinate communication between stakeholders, and identify trends or patterns that may impact service delivery. Key Responsibilities Welcome and assist patients, families, and visitors in a professional and friendly manner. Manage the patient intake process, ensuring all client information is entered accurately and completely into internal systems. Communicate regularly with parents, BCBAs, and RBTs to ensure information is aligned and services are coordinated effectively. Schedule appointments and assist with changes, cancellations, and confirmations. Monitor client records to ensure documentation is complete and up to date. Track therapist attendance and identify recurring patterns, such as frequent absences or scheduling concerns, escalating issues where appropriate. Recognize trends in client services and therapist availability to help improve operational efficiency. Process referrals and ensure all required documentation is received before services begin. Maintain accurate electronic records while ensuring confidentiality and compliance. Answer incoming calls, emails, and patient inquiries professionally and promptly. Provide administrative support, including data entry, filing, scanning, and document management. Collaborate with clinical and administrative teams to ensure a smooth intake and onboarding experience for new clients. Previous experience in a receptionist, patient intake, healthcare administration, care coordination, or customer service role. Experience working in a healthcare, medical, or clinical environment is highly preferred. Excellent verbal and written English communication skills. Strong interpersonal skills with the ability to communicate professionally with parents, clinicians, and therapists. Exceptional attention to detail and data accuracy. Highly organized with the ability to manage multiple priorities and deadlines. Strong problem-solving and critical thinking skills. Ability to identify trends, patterns, and inconsistencies in schedules or service delivery. Proficient in Microsoft Office and comfortable learning new software systems. Experience using CRM systems, with CentralReach experience preferred.
