SCHEDULER (NON-MEDICAL IN HOME SENIOR CARE)

Seniors Helping Seniors® Greater Sacramento is hiring a detail-oriented Scheduler to own our daily and weekly caregiver schedules. You’ll match caregivers with clients based on skills, personality, location, and availability; keep shifts filled; and communicate promptly with families and our care team. This role is fast-paced, people-focused, and mission-driven—your work ensures consistent, reliable care across Sacramento, Placer, Yolo, and Nevada counties.

QUALIFICATIONS:

  • 1–2+ years scheduling/dispatch experience (home care, home health, staffing, medical office, or similar) preferred.
  • Strong communicator who stays calm under pressure and solves problems fast.
  • Tech-comfortable: EMR/scheduling tools (WellSky a plus), Google Workspace; high-volume phones/text (Aircall/Salesmsg a plus).
  • Solid local geography knowledge and routing instincts.
  • Team player willing to support occasional evenings/weekends as business needs require.

Responsibilities
  • Build and maintain the master schedule; fill new starts and backfill call-outs quickly.
  • Match caregivers to clients (skills, compatibility, geography) while minimizing overtime and drive time.
  • Confirm shifts and communicate changes with caregivers and families (phone/text/email).
  • Monitor attendance (clock-ins/outs), resolve late/no-shows, and escalate issues promptly.
  • Keep WellSky schedules accurate (authorizations, service codes) and hand off cleanly to payroll/billing.
  • Forecast staffing needs with Recruiting; maintain a “hot shifts” list and coverage plan.
  • Track and report daily KPIs (fill rate, open shifts, cancellations, OT exposure).
  • Participate in an after-hours/on-call rotation for urgent coverage needs.
