Key Responsibilities1. Hospital Administration & Operations
- Manage and coordinate day-to-day hospital administrative operations.
- Ensure smooth coordination between clinical and non-clinical departments.
- Coordinate with doctors, nurses, reception, laboratory, radiology, pharmacy, and other clinical teams.
- Monitor hospital operational requirements and resolve administrative issues.
- Prepare daily, weekly, and monthly operational reports for management.
- Ensure compliance with hospital policies, procedures, and DOH requirements.
- Coordinate with department heads to ensure efficient hospital functioning.
2. Clinical Operations & Duty Roster Management
- Prepare and manage monthly duty rosters for doctors, nurses, and clinical staff.
- Coordinate duty coverage and ensure adequate staffing for clinical operations.
- Manage changes in duty rosters and coordinate replacements when required.
- Coordinate with clinical department heads regarding staffing requirements.
- Monitor clinical department attendance and operational availability.
- Ensure smooth coordination between clinical teams and hospital administration.
3. Patient Registration & Front Office Operations
- Oversee patient registration and reception activities.
- Ensure accurate entry of patient demographic and identification details into the hospital management system.
- Coordinate patient appointments, registration, and admission-related procedures where applicable.
- Monitor patient flow and ensure efficient coordination between reception and clinical departments.
- Ensure proper maintenance of patient records and documentation.
- Handle patient-related administrative concerns and coordinate timely solutions.
- Ensure compliance with patient confidentiality and hospital procedures.
4. Insurance & Billing Coordination
- Coordinate insurance eligibility verification and patient insurance-related requirements.
- Maintain knowledge of insurance procedures, approvals, and empanelment requirements.
- Coordinate with insurance companies and internal departments regarding patient coverage.
- Support the billing team with insurance-related administrative coordination.
- Follow up on insurance approvals, claims-related documentation, and pending requirements.
- Coordinate insurance empanelment applications and maintain related records.
- Ensure proper communication between clinical, billing, and insurance teams.
5. Clinical Department Coordination
- Coordinate daily administrative requirements of clinical departments.
- Support doctors and nursing teams with operational and administrative requirements.
- Coordinate with laboratory, radiology, pharmacy, and other departments for smooth patient services.
- Ensure timely communication between clinical teams and hospital management.
- Monitor clinical department requirements and escalate operational issues.
- Assist in implementing hospital quality and patient safety procedures.
6. Staff Attendance & HR Coordination
- Prepare and verify monthly attendance records for all clinical and administrative staff.
- Collect attendance information from relevant departments and ensure accuracy.
- Submit monthly attendance reports and timesheets to the HR department within the designated timeline.
- Coordinate with HR regarding attendance discrepancies and staff-related administrative matters.
- Maintain accurate attendance and operational records.
7. DOH & Regulatory Compliance
- Handle administrative submissions and correspondence through DOH Abu Dhabi portals.
- Prepare and send official emails regarding licensing, approvals, and operational requirements.
- Maintain records of regulatory documentation and submissions.
- Coordinate with relevant departments for DOH inspection requirements.
- Support hospital compliance with applicable healthcare regulations.
8. Management Reporting & Coordination
- Prepare operational reports and updates for hospital management.
- Coordinate departmental meetings and follow up on action points.
- Monitor pending administrative and clinical operational requirements.
- Support management in improving hospital workflow and service efficiency.
- Perform other duties assigned by hospital management.
Required Qualifications & Skills
- Bachelor's degree in Hospital Administration, Healthcare Management, or a related field.
- Minimum 2 years of experience in hospital administration or healthcare operations.
- Knowledge of clinical department coordination and hospital workflows.
- Experience in preparing duty rosters for doctors and clinical staff.
- Knowledge of patient registration and hospital management systems.
- Working knowledge of insurance eligibility, approvals, and billing coordination.
- Knowledge of DOH Abu Dhabi portals and healthcare regulatory procedures.
- Strong communication, coordination, and organizational skills.
- Proficiency in MS Office, especially Excel and Word.
- Ability to manage multiple hospital administrative responsibilities.
