Job Details Job Location: Hotel - Tuolumne, CA Position Type: Full Time Salary Range: Undisclosed Description SUMMARY: Responsible for providing all necessary administrative support to the Hotel General Manager and Hotel Management. Essential Responsibilities and Duties: (Specific areas of responsibility including, but not limited to) Performs a wide variety of administrative assignments which are sometimes confidential in nature. Oversees the issuance and record maintenance of all cash banks including petty cash. Processes Hotel vendor price comparisons, applications and contract proposals. Reviews and codes vendor invoices. Reviews payroll. Greets visitors, answers and routes phone calls and incoming mail, orders office supplies, gathers data and compiles reports, maintains Hotel filing and record keeping and prepares correspondence. Attends meetings and trainings; Participates and takes minutes as required. Arranges and schedules meetings, travel, interviews and appointments. Maintains a positive attitude and acts in a consistently professional manner towards Guests, vendors and Team Members. Impresses Guests with quality and timely service in a professional, pleasant, and friendly manner. Unites Team Members in a common commitment to achieve and exceed these goals. Works closely with management throughout Black Oak Casino Resort and TEDA, Inc. Promptly resolves routine administrative problems and answers inquiries concerning activities and operations. Promptly reports all emergencies, injuries, missing articles, damage, mechanical problems and safety hazards to management. Ensures all communication containing Tuolumne Band of Me-Wuk Indians; TEDA, Inc.; Black Oak Casino Resort; and Guest information is consistent with privacy policies and practices. Promptly reports any incidents of Guest dissatisfaction or other matters of significance to management including the Hotel General Manager so that corrective measures may be taken. Writes shift reports including any incident of theft, accident or injury as assigned. Performs other duties and attends to special projects as assigned. Participates in committees as requested. Qualifications Mandatory Requirements: Must possess a high school diploma, G.E.D., or equivalent. Must be at least 18 years old. Must have two (2) or more years of secretarial or equivalent experience. Experience in the hospitality industry as well as an existing knowledge of common industry terms and practices preferred. Must complete Responsible Alcohol Service certification or have proof of current certification. Must be able to type at least 50 wpm. Must be able to operate a computer, calculator, phone and other office equipment. Must possess a working knowledge of Microsoft Office programs and applications. Must maintain confidentiality with tact, diplomacy, and discretion. Must be able to compile facts/figures, identify and investigate issues and resolve matters in a timely manner. Must be able to follow an appropriate course of action based on management’s direction and policies and procedures. Must give strong attention to detail and possess excellent organizational and time management skills. Must be able to work in a fast-paced environment (sometimes under pressure) while remaining professional, flexible, and efficient. Must possess excellent oral and written communication skills. Must be able to communicate proficiently in English. Must possess and maintain a valid California driver license and a Black Oak Casino driver’s permit. Must be able to pass a mandatory drug test and background check. Must provide evidence of employment eligibility in the U.S. Physical Demands: Must be physically able to perform all job requirements. Must be able to lift 25 pounds and occasionally more with assistance. Work Environment: Must be able to work in a noisy environment.
