EXPERIENCE AND EDUCATION Required Experience 10 years of progressively responsible administrative experience in business, medical, scientific, or health care environment. JOB DUTIES Daily: Answer emails or calls addressing any and all questions from students, residents, coordinators, administrators, etc. regarding University Hospitals. Work closely with Education Coordinators and assistants on any resident/fellow, student or rotator related questions. Work closely with Nutrition Services on any resident meal reimbursements and related issues. Work closely with EVS on any call room or housekeeping related challenges at both Hospitals. Monthly: Resident/Fellow payroll reconciliation/verification for departments for payment to University Departments and to Parkland and submit check requests for payment to Administration. Update GME Summary Spreadsheet monthly after completion of reconciliation. Prepare meal allowance information for Nutrition Services. Multiple departments forward on-call meals information to me and I compile into one list for Nutrition to track resident meal purchases for those on-call. Orient Surgery students to Clements University Hospital. This includes checking in at the beginning of the rotation, updating them on parking, checking their badge for scrub access, showing them location of scrub machines, etc. Request scrub access for students on rotation Request badge access for students on rotation - (This could be done now for all med students). Yearly: Complete IDR for payment of ACGME Accreditation Fees and forward to GME office for payment. Update Resident Expenses paid to PMH by UH for each academic year. Assign personal identifier to each new incoming resident for DPS/DEA. Once number is assigned the institution DPS, DEA and resident personal identifier are entered into MedHub. Attend Campus Collaborative Resident/Fellow Orientation each June. Update all Resident/Fellow Distribution Lists, Chief Resident Lists, and Coordinator and PD lists. Delete those leaving and add new. Ongoing: Complete on-line verification of Licensure, DPS and DEA for residents who become licensed. This includes uploading PDF of license, DPS and DEA from source verification into MedHub. This may also include informing CMO, GME office and department of any resident who may have a TMB Board Order. When residents become licensed and have personal DPS and DEA numbers this information is removed from MedHub and the list is updated to remove them. When residents become licensed and certified submit service request to have information entered into Epic. Update the Personal Identifier list of residents (adding new residents, removing residents who have left or become licensed and certified) and forward to both campus pharmacies. Attended GME On-board meetings related to all institutions coming together with one on-board packet to all new incoming residents. Attended Campus Shared Orientation for new incoming residents and fellows. This used to be strictly a Parkland orientation. Last year was the first year it was a shared campus collaborative orientation. Enter work orders for anything that needs to be fixed, printers not working, computer problems, etc. Order printer paper, coffee cups, napkins, sugar, creamer, etc. for resident lounges on 2nd and 3rd floor.
