QUALIFICATIONS:

3 GCSEs at Grade A–C (or equivalent), including English and Mathematics.

SKILLS & EXPERIENCE REQUIRED:

  • Previous administrative or office-based experience, preferably within housing or a public service environment.
  • Strong communication skills, both written and verbal, with a polite and helpful telephone manner.
  • Experience in customer service, dealing with the public in a professional and empathetic manner.
  • High attention to detail and accuracy in data entry and written work.
  • Excellent organisational skills with the ability to manage multiple tasks and meet deadlines.
  • Proficient in Microsoft Office applications (Word, Excel, Outlook, etc.) and able to use housing-related databases.
  • Experience of call handling and logging enquiries efficiently.
  • Ability to produce and format letters, reports, and other documents to a professional standard.
Responsibilities

WHAT’S INVOLVED WITH THIS ROLE:

Are you organised, approachable, and passionate about delivering excellent customer service? We are looking for a proactive Housing Assistant to support our busy housing team by providing high-quality administrative and customer-facing services.
As a vital first point of contact for residents and visitors, you’ll be responsible for handling housing enquiries, maintaining accurate records, coordinating appointments, and supporting the day-to-day operations of the housing service.

KEY RESPONSIBILITIES:

  • Deliver a professional reception and switchboard service, responding to visitors, phone calls, and enquiries from the public and external agencies.
  • Provide word processing and general administrative support, including designing and formatting documents, presentations, and correspondence.
  • Maintain effective filing systems, manage databases, and accurately input and retrieve statistical and housing-related information.
  • Assist with the registration and maintenance of Housing Register applications and process change of circumstances and annual reviews.
  • Organise and support meetings, including room bookings, taking minutes, and preparing refreshments as required.
  • Support the handling of anti-social behaviour records, breach of tenancy issues, and customer satisfaction surveys.
  • Process purchase orders and invoices and maintain financial and service-related documentation, including former tenant arrears and recharges.
  • Provide first-line advice to customers with housing or tenancy queries, and signpost them to relevant services where appropriate.
