JOB SUMMARY:

To provide excellent and efficient administration duties service ensuring that the internal teams receive the support and assistance they require. As administrator you will deal with all aspects of administration providing highly professional and helpful administrative service whilst ensuring that the administration of the Team is kept to Tuath’s high standards.
You will provide quality administration duties, provide support to the Housing Services Team, and handle enquiries and complaints in a proficient, courteous and helpful manner in line with procedures.
The following list is typical of the level of duties which the post holder is expected to perform or be responsible for. It is not necessarily exhaustive and other duties of a similar type and level may be expected from time to time. The post holder will be responsible for a combination of the objectives described below and annual KPIs dependent upon the requirements of the organisation.

ESSENTIAL SKILLS, QUALIFICATIONS, AND EXPERIENCE

  • At least one years’/ experience in a busy office administration role.
  • Excellent administrative skills and ability to produce Pivot Tables, spreadsheets, presentations, and memos.
  • Excellent communication, interpersonal and relationship-building skills.
  • Ability to work effectively as part of a team and independently.
  • Good organisational and time-management skills.
  • Ability to handle sensitive and confidential information.
  • Commitment to working in a customer-focused and solution-oriented manner.
  • To participate on forums/working groups/committees as required.
  • Carry out any other reasonable duties as may be required from time to time.

Responsibilities
  • Responsibility for answering telephone calls, logging and dealing with enquiries from the Customer Service Centre as appropriate.
  • Assisting with general administrative duties within the organisation as required, including typing, copying, and filing, taking meeting minutes, processing invoices etc.
  • Provide Business Support cover for colleagues as necessary
  • Using a variety of software packages, such as Microsoft Word, Outlook, Powerpoint, Excel, Access, etc., to produce correspondence and documents and maintain presentations, records, spreadsheets and databases and charts.
  • Booking rooms and conference facilities.
  • Using content management systems to maintain and update websites and internal databases.
  • Attending meetings, taking minutes, and keeping notes.
  • Liaising with staff in other departments and with external contacts.
  • Ordering and maintaining stationery and equipment.
  • Sorting and distributing incoming post and organising and sending outgoing post, including mail merges.
  • Liaising with colleagues and external contacts to book travel and accommodation.
  • Organising and storing paperwork, documents and computer-based information.
  • Photocopying and printing various documents, sometimes on behalf of other colleagues.
  • Arranging and booking taxis, couriers and lodgement handling.
