Description Housing & Emergency Services Division Position Data: Title: Housing Clerk/Scheduler Grade: 3 Exempt: _______ Non-exempt ___X__ Immediate Supervisor: Housing Services Manager Basic Function or Position Summary: Provides clerical support to service area, including filing, data entry, and mailings. Schedules all Divisional housing inspections and prepares customer annual recertification packets for mailing. Security Clearance • Access Level 4 – V,A,C,R Position Responsibilities and Specific Duties: • Schedules divisional housing inspections • Serves as back up for reception. • Prepares customer annual recertification and inspection packets • Clerical function for division • Copying, filing, data entry (to include double entry requirements), reporting • Phone and customer messages • Route customer contact • Route mailings and mailing lists • Tracking of success stories • Ordering of supplies • Maintains division data bases • Promotes agency mission • Maintains confidentiality and complies with the code of ethics. • Maintains consistent professional customer service • Job performance incorporates integrated service delivery model while promoting self- sufficiency • Other duties as designated by supervisor Key Working Relationships: A. Internal: Division Director, Deputy Director, Managers, Staff B. External: Customers. Supervisory Scope: A. Number of staff supervised: 0 B. Titles supervised: N/A Organizational Responsibilities: • Adheres to all policies and procedures • Gathers appropriate documentation and tracks outcomes • Participates in organizational committee structures as appropriate • Participates in organizational and divisional management systems Requirements Knowledge, Skills Required: • High School diploma or GED required; Associate’s Degree in Sciences, Business, or Human Services preferred • Minimum one year of clerical, administrative, or customer service experience required; three years of clerical, administrative, phone skills, filing skills or customer service experience preferred. • Strong interpersonal skills • Good team building skills • Working knowledge of Microsoft Office (Word, Excel), data entry and spreadsheets; experience with Google Drive strongly preferred. Physical: • Ability to lift up to and including 10-25 pounds of physical effort Special Requirement: • Reliable transportation • Must be able to provide consistent even tempered customer service at all times • Works compassionately with a diverse population
