HUMAN RESOURCES/ACCOUNTING ASSISTANT     Location: Main Campus Reports To: Human Resources Manager FLSA Status: Non-Exempt Employee Status: Full-time Work Schedule: Regular business hours Monday to Friday and other hours intermittently or as assigned. Supervision Given: None Supervision Received: Human Resources Manager, COO/CFO   NATURE AND SCOPE OF POSITION The Human Resources/Accounting Assistant provides direct assistance to the Human Resources Department as well as the Accounting team. Duties primarily include helping with the day-to-day administrative tasks for both departments as well as assisting with intermittent larger projects. The contributions to the smooth operation of both departments significantly contributes to Magnolia’s goals of ensuring our clients are able to thrive and grown.   PRIMARY QUALIFICATIONS Education: * Bachelor’s Degree, preferred.   Work Experience: * At least one year of prior experience in the field of HR and/or Accounting required. * Nonprofit experience preferred.   Certification or License: * Current Louisiana Driver’s License, required  * Current Automotive Insurance Coverage, required  * Attendance at Mandatory Training & In-Services   Special Skills: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.   Human Resources: * Assists the HR Manager with administrative and operational support for the HR Department. * Assists the HR team with operating a smooth and efficient hiring process for all positions at Magnolia. * Run monthly state-mandated Adverse Action, OIG, & SAM checks for all employees, filing in company shared Vdrive. * Run quarterly DMV check on all active Magnolia employees, filing in company shared Vdrive. * Following up with all Temp agencies to ensure they forward AA/OIG/SAM checks in appropriate time. * Assists HR department with onboarding tasks such as phone screening applicants, sending follow-up emails, contacting references, and running pre-employment checks. * Scanning documents for both new hires and existing employees into Magnolia systems. * Performs other HR-related administrative tasks and special projects as assigned. Orientation: * Assist with the prep of bi-monthly orientation. * Create folders for new hires, filling with appropriate paperwork for each section. * Print off enough handouts for each section. * Collecting all orientation documents after completion, sorting, and scanning into Magnolia’s systems. * Ordering food for orientation participants. * Bring orientation participants on end of session tour of Magnolia facilities. * Become familiar with all orientation sections in order to effectively present any section when the primary presenter is unavailable, demonstrating sufficient knowledge to confidently address content and respond to questions. Accounting: * Assists with the preparation of routine financial reports, schedules, and supporting documentation. * Provide administrative and organizational support for audits, reviews, and compliance-related activities, including gathering and organizing requested materials. * Support accounting staff with miscellaneous financial data entry, reconciliations, and documentation preparation as needed. * Maintain organized financial records and ensure documentation is complete, accurate, and filed in accordance with internal procedures. * Performs other accounting-related administrative tasks and special projects as assigned.   Other: * Respects the confidentiality and dignity of employees’ and clients’ personal information to which they may be privy.  * Understands and complies with Magnolia’s mission, vision, and values.  * Communicates professionally and respectfully with all Magnolia staff. * Maintains a professional image as a representative of Magnolia.  * Performs other duties that may be assigned.
