As our organization continues to grow, we are seeking a collaborative and detail-oriented HR & Accounting Assistant to join our team in Mount Vernon, Washington. This is a full-time, hybrid role reporting to the Mount Vernon office at least 3 days per week. The HR & Accounting Assistant will provide administrative and operational support to Human Resources and Finance teams. A high level of attention to detail and accuracy is vital in this role. What You Will Do HR Support Maintain employee personnel files (digital and paper) Track onboarding paperwork (I-9, W-4, direct deposit, policy acknowledgments) Monitor training and compliance documentation Update employee data in HRIS/payroll systems Assist with timecard collection for payroll processing Maintain strict confidentiality of employee information Other HR assignments on a project basis Accounts Payable / Transactional Finance Support Collect and open mail; route invoices for approval Enter all A/P invoices into QuickBooks or payment system Process staff mileage and expense reimbursements Process foster parent payments Enter EFT and bill-pay transactions after approval Maintain vendor W-9 files and 1099 tracking support Onboard new vendors (collect W-9, ACH info, contact info) Match Divvy transactions to receipts in QBO Maintain organized A/P documentation for audit Deposits & Cash Entry Prepare and record check deposits Record electronic deposits in QBO Maintain deposit logs and notify Accountant of payments received Track undeposited funds Resource Development Administrative Support Enter donor data into Bloomerang Track in-kind and non-cash donations Assist with donor acknowledgements Provide donor reports/exports to fundraising staff Track gift card and Argus fund entries (data entry only) Administrative & Systems Collect mail from Post Office Maintain organized financial and HR procedure documents in Google Drive Assist with audit documentation gathering Note: This job description in no way states or implies that these are the only duties to be performed by the employee occupying this position. Requirements What You Will Bring High school diploma or GED required. Coursework/training or Associate's degree in Human Resources, Accounting, Business Administration, or related field preferred. Two or more years of progressive administrative experience, nonprofit or mission-driven organization preferred. Excellent organizational skills with attention to detail and ability to manage multiple priorities. Excellent communication skills and ability to work collaboratively. Proficiency with Google Workspace, Microsoft Office Suite, Quickbooks Online, Bill.com and HRIS platforms (Paylocity preferred).
