We’re seeking a highly motivated individual who is:

  • Eager to Learn: A fresh graduate or an individual with limited experience who is keen to kickstart a career in HR and administration. Your ability to learn quickly and adapt to new processes is key.
  • Meticulous & Detail-Oriented: Possesses a high level of attention to detail and a meticulous approach to all tasks, ensuring accuracy in records and processes. You’re someone who thrives on getting things right.
  • Follows Instructions Precisely: Able to diligently follow instructions and standard operating procedures, ensuring tasks are completed accurately and efficiently.
  • MOM Knowledge: Has a strong understanding and familiarity with MOM regulations and best practices, or a strong willingness to learn and become proficient in this area.
  • Software Proficiency: Experience with the Infotech HR system is a significant advantage, but not a strict requirement if you’re a fast learner. Proficient in using Google Workspace (Drive, Sheets, Docs) for seamless collaboration and data management.
  • Tech Savvy: Comfortable and adept at using various technological tools to enhance efficiency in HR and administrative tasks.
  • Independence: Demonstrates the ability to work independently, manage time effectively, and prioritize tasks efficiently in a fast-paced environment.
  • Communication: Exhibits excellent communication and interpersonal skills, both written and verbal, allowing for clear and effective interactions with all levels of staff and external parties.
  • Proactive Team Player: A positive attitude with a willingness to learn and grow within the HR and administrative field.
Responsibilities

As our HR & Admin Assistant, you’ll be responsible for a wide range of tasks, including:

  • Employee Lifecycle Management: Handle end-to-end processes for staff onboarding and offboarding, ensuring a seamless and welcoming experience for all employees. This includes preparing necessary documentation, coordinating new hire orientations, and managing exit procedures.
  • HR Operations: Manage daily HR tasks such as maintaining accurate and confidential HR databases, meticulous document keeping, and ensuring the precision of all employee records and files. You’ll also be involved in managing employee disciplinary matters, ensuring fair and consistent application of company policies.
  • Payroll & Benefits: Assist with efficient payroll processing, accurate overtime calculations, comprehensive leave tracking, and timely expense reimbursements.
  • MOM Compliance & Foreign Worker Management: Be intimately familiar with the Ministry of Manpower (MOM) rules and regulations. This critical aspect of your role includes expertly applying for foreign worker work passes, effectively liaising with MOM on matters related to workplace safety, work passes, and other relevant issues, and diligently handling matters related to worker dormitories and levy waivers. You will be responsible for recruiting candidates and managing applications submitted to MOM.
  • Policy Management: Assist in regularly updating company policies, ensuring they are current and compliant, and effectively communicating any changes to staff to maintain transparency and understanding.
  • System Management: Proficiently utilize the Infotech HR system for all relevant HR functions, ensuring data integrity and efficient process management.
  • General Administration: Provide general administrative support to ensure the smooth operation of the office, assisting with various tasks as needed.
