Farm Radio International is an international nonprofit organization that enables greater access to information, communication and knowledge among the world’s most marginalized and under-represented groups. Since 1979, Farm Radio has been working to harness the power of radio to meet the information needs of rural people across Africa. We work with more than 1,400 radio organizations located in more than 38 African countries to fight poverty and food insecurity using interactive radio. With the benefit of resources and training, our broadcasting partners deliver practical, relevant, and timely information to tens of millions of rural Africans, including women. We also work with a range of funding partners to implement radio projects that address specific development challenges and community needs delivering results for rural communities.
Farm Radio is looking for someone to help us get more and stay better organized. The Administration Coordinator position is intended to help Farm Radio improve and maintain administrative systems, supporting Operations, Human Resources and Project Implementation. We’re looking for someone who is well organised and both systems- and people-oriented.

DOCUMENTATION, SYSTEMS AND KNOWLEDGE MANAGEMENT SUPPORT

  • Develop and maintain systems for staff access to various types of organizational resources, e.g. handbooks, policies, procedures, guidelines, templates, organograms and other documentation, including the use of Google Drive, Google Groups and Google Docs/Sheets/Slides, etc.
  • Support organization-wide systems related to staff time allocations and reporting (eg timesheets, leave requests, etc.), management of consultants and other contractors, and project/network-based program outputs and outcomes (results)
  • Coordinate Farm Radio’s management of official organizational emails: , , , , etc.

HR SUPPORT

  • Full-cycle recruitment from job description development (in consultation with hiring managers) to the hiring and onboarding/off boarding of staff.
  • Assist in the preparation of employee contracts
  • Ensure HR policies, procedures and all general (non-confidential) administrative documents as well as staff lists are up-to-date on the FRI internal software’s (intranet, shared drives …)
  • Assist in the development and implementation of a self-guided, online orientation module for new staff and the ongoing administration of that module.
  • Coordination of all activities related to the timely completion of probationary period
  • Set-up and administer the yearly Employee Performance Management process
  • Maintain the FRI Personnel Policy Manual (ensure that the manual is kept up-to-date with new or revised policies as they are introduced)
  • First point of contact for employee queries or issues and responsible for resolving or escalating matters as appropriate
  • Manage internal staff capacity building and training systems: soliciting, confirming and organizing internal training events, communicating with different staff (as trainers and trainees) and supporting execution of training
  • Lead on the planning and coordination of internal communications, including the intranet, broadcast chat space, email bulletins and staff meetings
  • Lead and coordinate the participation of other members of personnel in staff welfare activities, social committee, Administer the Employee Recognition Programs etc.
  • In collaboration with the Finance department, administer HR payroll tasks and the FRI RRSP plan (employee enrolments/terminations, pay changes, address changes, etc.)

REQUIREMENTS
