Phoenix Paper Wickliffe LLC is searching for qualified candidates to assume the role of an HR Admin.
Summary: The HR Admin is responsible for the handling of administrative tasks or responsibilities for Phoenix Paper Wickliffe LLC. This position provides support to HR and Company managers and employees as needed. This is an hourly position and therefore is eligible for overtime.
Key responsibilities of this position include, but are not limited to, the following:
· Handling office tasks, such as filing, generating reports and presentations, setting up for meetings, and reordering supplies.
· Providing real-time scheduling support by booking appointments and preventing conflicts.
· Making international and domestic travel arrangements, such as booking flights, cars, and making hotel and restaurant reservations.
· Schedules interviews, travel arrangements, meeting appointments.
· Primary support and organizers of any office events such as retirement parties or organizing/setup of company provided meals for meetings.
· Primary facilitator and organizer of new hire onboarding and reviews new hire policies with new hire groups.
· Screening phone calls and routing callers to the appropriate party.
· Using computers to generate reports, transcribe minutes from meetings, create presentations, and conduct research.
· Greeting and assist visitors.
· Maintain polite and professional communication via phone, e-mail, and mail.
· Positive, upbeat attitude, with a “go-getter” mentality.
· Self-directed work and able to take initiative.
· Anticipate the needs of others to ensure their seamless and positive experience.
· May occasionally have to travel to pick up visitors, pick up food, or rarely work a weekend or after normal office hours.
General Qualifications:
· Associate or bachelor’s degree preferred in Business or related field.
· Three (3) to five (5) years successful Administrative Assistant or related work required.
· Strong analytical, organizational, and planning skills required.
· Excellent computer skills required, Proficient in Microsoft Office
· High level of communication skills within multiple levels of the organization and foreign visitors.
· Patient and understanding of cultural differences.
· Self-starter, with the ability to operate independently without direct team support.
· Ability to maintain confidential information.
· Must be flexible and able to prioritize multiple tasks in a dynamic, fast-paced environment.
· Must possess clear written and verbal communication skills, presentation skills, and strong interpersonal skills; able to respond to, interact and collaborate with clients, vendors/suppliers and employees within all levels of the organization.
