JOB TITLE – HR ADMINISTRATION ASSISTANT

Pickerings Lifts is a national, well established, privately owned, independent, leading lift specialist with 170 years’ experience. We require a part time HR Administration Assistant to join our Human Resources Team at Head Office.

Responsibilities
  • Employee Vetting & Compliance: Conduct employee vetting by liaising with employees to obtain appropriate ID documents, providing guidance where needed, and processing checks through various portals to process, monitor and track vetting progress.
  • Vetting Log Management: Update and maintain the vetting spreadsheet log, ensuring timely renewals for existing employees.
  • Customer Communication: Administer ‘comfort’ letters to customers as requested.
  • Internal Notifications: Send timely communications to relevant departments regarding new starters and leavers in line with company processes.
  • HR System Maintenance: Maintain HR management systems and logs, including Sage HR, ensuring accuracy and compliance.
  • Induction & Onboarding: Prepare and send new starter induction packs along with corporate gift packs in collaboration with the HR Recruitment Coordinator.
  • ID Card Management: Produce ID cards for new starters and proactively manage the renewal process by maintaining an up-to-date ID card log.
  • HR Reporting: Utilize Sage HR to generate HR reports as required.
  • Employee Benefits Administration: Act as the first point of contact for the employee benefits platform provider, ensuring timely promotion of key benefits via the Employee Hub and managing new starter access and obtain management information for HR reporting.
  • Flu Vaccination Program: Organize the annual flu vaccination program, including purchasing, promoting, and distributing vouchers to employees.
  • Employee Documentation: Administer letters to employees as required, following instructions from the HR Manager.
  • Record Maintenance: Maintain both paper and electronic employee files on Sage HR, ensuring proper filing and document uploads.
  • Absence Logging: Record employee absences on Sage in the absence of the HR & Training Administrator.
  • General HR Administration: Perform administrative tasks to support employee record management.
  • Confidentiality & Data Protection: Ensure the confidentiality of all employee records and sensitive information at all times.
