HR Administrative Assistant Location: Miami, FL (On-site) Schedule: Monday to Friday, 8:00 a.m.–4:30 p.m. (ET) Reports to: HR Manager Aeroservicios USA is a Miami-based provider of new and refurbished Ground Support Equipment (GSE), serving airlines, cargo and regional operators, charter companies, ground handlers, and FBOs. We are seeking a highly organized HR Administrative Assistant to support the HR Manager with administrative execution and follow-up across key HR processes in a dynamic, operations-focused environment. This employee-facing role serves as the first point of contact for routine HR administrative requests and supports documentation and follow-up across day-to-day HR activities. Responsibilities (Administrative Support)  Employee Support * Serve as the first point of contact for employees for routine HR administrative requests (forms, document drop-offs, appointment scheduling, basic process questions).  * Provide excellent customer service, gather required information, and route requests to the appropriate process/channel.  * Maintain request logs/trackers and follow up to ensure items are completed and closed out. Documentation & File Management  * Scan/copy/file and maintain employee records (digital/physical) with strict confidentiality.  * Maintain checklists for missing documentation and follow naming conventions/folder structure as directed. Recruiting & Onboarding Logistics * Coordinate interview logistics and candidate communications; maintain tracking lists and reminders. * Provide candidate support, as needed, with online applications and related pre-employment steps, including in-person guidance for individuals who may need assistance completing the process. * Support onboarding document collection, scheduling, and checklist follow-up. * Assist with onboarding and new hire orientation, including support with onboarding documents, benefits orientation, and standard HR procedures, under the direction of the HR Manager. Training Coordination Support * Coordinate training invites, reminders, attendance lists, sign-in sheets, materials, signatures, and training records; scan, upload, file, and track completion of required training and make-up sessions as instructed. Insurance & Benefits Support (Administrative) * Support insurance renewals and Open Enrollment administration by compiling requested information, coordinating documents, tracking deadlines, and assisting employees with enrollment steps/portal navigation as directed. Workers’ Compensation (WC) - Administrative Support  * Assist with incident reporting administration and coordinate documentation with the carrier/adjuster as directed (no claim determinations). HR Manager Administrative Support * Provide administrative support to the HR Manager: handle HR-related calls/messages, send emails and reminders as directed, manage mail correspondence, take meeting notes, maintain task tracking, support employee events/activities, and perform other duties as assigned and as needed.  * Support payroll-related administrative tasks as needed, including timecard review follow-up, basic timekeeping discrepancy checks, and coordination of missing punches or corrections prior to payroll processing, under the direction of the HR Manager. Qualifications * 2–4 years of administrative experience (HR/Office Admin preferred).  * Exceptional organization with paperwork and document control (digital/physical); strong confidentiality.  * Excellent customer service; able to provide clear step-by-step guidance for routine processes.  * Microsoft 365 (Excel, Word, PowerPoint, Outlook) and PDFs; strong Excel skills.  * Strong writing (emails/letters) and strong note taking. * Bilingual (English/ Spanish) required.  * Preferred: ADP Workforce Now (WFN) familiarity (admin navigation/basic support).  Education * High School Diploma required.  * Preferred: Associate degree/some college (Business Administration, HR, or related) or equivalent experience.
