OVERVIEW

Mississauga Secondary Academy is seeking a detail-oriented and proactive HR Administrative Assistant to join our team. This role is essential in ensuring the smooth operation of our office environment, providing clerical support, and enhancing customer service experiences.

Primary Responsibilities:

  • Process, verify and register documentation relating to personnel activities such as staffing, recruitment, training, grievances, performance evaluations and classifications
  • Maintain and update manual and computerized filing and registration systems, and compile and prepare reports and documents relating to personnel activities
  • Respond to telephone and written enquiries from staff and the general public regarding personnel matters
  • Arrange for advertising or posting of job vacancies, assist in screening and rating of job applicants, and conduct reference checks
  • Administer and score employment tests, such as keyboarding and proofreading tests
  • Arrange for in-house and external training activities
  • Manage and update HR employee physicals and files.
  • Schedule and coordinate meetings, interviews, and training sessions.
  • Post job ads on various platforms and screen resumes.
  • Resolve minor workplace issues and seek support for complex matters.
  • Assist with HR audits and inspections.
  • Support payroll by verifying timesheets and leaving records.
  • Maintain confidentiality and integrity of all HR data.

REQUIREMENTS

  • Completed Grade 12 Ontario Secondary Diploma.
  • Proven experience in an administrative or clerical role is preferred.
  • Strong computer skills with proficiency in Microsoft Office Suite.
  • Excellent organizational skills with the ability to prioritize tasks effectively.
  • Exceptional written and verbal communication skills, including proofreading capabilities.
  • Customer service experience with a friendly demeanor when interacting with clients and colleagues.
