JOB PURPOSE:

As part of our ambitious expansion plans, ExecuJet MRO Services Middle East is seeking a talented and detail-oriented HR Administrator to join our team. The primary goal of this role is to perform all the HR functions and ensure smooth people operations.

KEY RESPONSIBILITIES:

  • Assist in the recruitment process by tracking applications, identifying possible candidates and ensure that all rejected candidates receive a regret e-mail.
  • Schedule interviews for job applicants.
  • Carry out employee verification calls from banks.
  • Prepare personnel files for new employees (inserting relevant orientation forms etc).
  • Administer the company Drug & Alcohol program in accordance with GCAA regulations, organizing pre-employment drug tests for new staff in safety sensitive roles and coordinating with Menalabs and relevant employees for quarterly random testing.
  • Send out new joiners’ email to staff.
  • Liaise with relevant external parties for the processing of medical insurance cover for all staff.
  • Liaise with relevant internal parties for the issuance of employee access cards, email ID’s and relocation assistance where relevant.
  • Liaise with PRO to organize visa, flight, accommodation and car hire for new employees as required.
  • Send reminders to Managers for 3-month pre-probation review and 6-month end of probation and prepare Confirmation of Employment letters at end of probation period.
  • Update staff list on a monthly basis.
  • File the monthly payroll and ensure that personnel files as well as personnel information on the HR database are kept up to date.
  • Manage the approval of staff leave on Sage, ensuring compliance with the Leave Policy.
  • Issue monthly leave reports to Managers, highlighting leave balances approaching the accrual limit.
  • Co-ordinate the sign-off of exit checklists for employees who are leaving and ensure that medical cards, Amex cards ,,, are cancelled timeously.
  • Maintain list of employee banking details and ensure kept up to date with changes notified to Senior Accountant on a monthly basis.
  • Prepare housing and other staff loan deduction agreements, salary certificates, introductory letter for opening bank account etc. as requested by staff, ensuring compliance with Company policies.
  • Assist with the airside passes applications once required.
