ABOUT PURE PEPTIDES

Pure Peptides LLC is a fast-growing Dubai-based peptides company with an in-house laboratory and a rapidly expanding team. We operate at high volume — 100+ orders per day — serving both B2B clinic and doctor networks and direct consumers across the UAE, with active expansion into international markets.

We are hiring fast. We are building systems. And we need someone who can run the people function — recruitment, HR, and admin — so the COO is focused on strategy, not process. This is one of the most important hires we are making right now.

THE PURPOSE OF THIS ROLE

Right now the COO is running recruitment, HR, and admin on top of everything else. That stops with this hire. This person takes full ownership of the entire people function — finding staff, vetting them, trialling them, hiring them, onboarding them, managing their contracts, salaries, and visas, and keeping the org chart current at all times.

You are also responsible for maintaining a live hiring and firing plan — so the company always knows what it needs, why, and where every role sits. This is a strategic function, not just an admin one.

FULL SCOPE OF RESPONSIBILITIES5.1 Recruitment — End to End

  • Own the full recruitment process for every role across the company
  • Source candidates proactively — do not rely on inbound applications alone
  • Design and send task trials before every interview — this is mandatory for all roles
  • Screen, vet, and interview all candidates before they reach the COO
  • Present a shortlist with a clear recommendation to the COO for final approval
  • Move fast — the company is growing and delays in hiring have a direct business cost

Live Headcount & Org Planning

  • Maintain a live headcount plan at all times — current team, open roles, planned hires
  • When a new role is needed, prepare a structured proposal for the COO covering: why the role is needed, where it sits in the structure, who it reports to, and estimated cost
  • Maintain an up-to-date org chart — updated immediately after every hire, exit, or restructure
  • Proactively flag to the COO when headcount is falling behind business needs
  • Maintain a firing risk register — flag underperforming roles or people issues early

Salary Management — Sole Owner

⚠ Salary processing is owned exclusively by this role. No other team member handles salary data or payroll inputs.

  • Own the end-to-end salary process for all staff — remote and Dubai-based
  • Maintain a salary register — every employee, current pay, review dates, agreed changes
  • Process monthly salary inputs accurately and on time
  • Track and document all approved salary changes, increments, and deductions
  • Manage overtime records — only COO-approved overtime is processed
  • Flag salary review dates to COO minimum 30 days in advance
  • Treat all salary information with strict confidentiality

Visa & Immigration Coordination

  • Take full ownership of all visa research Ali has initiated — pick up and complete it
  • Work with Jemima, COO, Ali, and the PRO company to confirm and action all visa requirements
  • Be the single point of contact between Pure Peptides and the PRO company
  • Maintain a live visa tracker — every Dubai-based team member, status, expiry, action required
  • Flag all renewals minimum 60 days before expiry
  • Manage new visa applications for incoming Dubai hires end-to-end

Contracts & Compliance

  • Issue contracts to all current staff without one — immediate priority from day one
  • Maintain a contracts register — every employee, status, expiry, renewal date
  • Ensure all contracts comply with UAE Labour Law
  • Draft and issue offer letters for every new hire before their start date
  • Maintain confidential, organised employee files for every team member

Role Overview

We are seeking an HR Administrator to join a growing People team on a fixed-term contract basis. This role offers broad exposure across the employee lifecycle, including recruitment coordination, onboarding, HR operations, payroll support, reporting, and employee administration. The successful candidate will play a key role in ensuring efficient HR processes, maintaining accurate employee records, supporting hiring activities, and delivering a high-quality experience for employees and stakeholders across the business.

Key Responsibilities

  • Provide day-to-day HR administrative support across the full employee lifecycle.
  • Coordinate onboarding activities, including documentation, inductions, and reference checks.
  • Conduct Right to Work checks and ensure compliance with company procedures.
  • Maintain and update employee records within HR systems.
  • Support payroll administration by ensuring employee data is accurate and submitted on time.
  • Manage employee queries through the HR shared inbox.
  • Assist hiring managers with job descriptions and recruitment requirements.
  • Coordinate interview scheduling, candidate communications, and recruitment logistics.
  • Manage relationships with external recruitment partners and agencies.
  • Prepare HR reports and dashboards covering headcount, attrition, joiners, leavers, and absence trends.
  • Ensure HR data integrity and support audit and compliance requirements.
  • Contribute to continuous improvement of HR processes and reporting capabilities.

Requirements

  • Previous administrative experience, ideally within HR or a fast-paced corporate environment.
  • Strong organizational and multitasking abilities.
  • Excellent attention to detail and accuracy.
  • Professional communication and stakeholder management skills.
  • Ability to handle confidential information with discretion.
  • Proficiency in Microsoft Office applications and HR systems.
  • Experience with HRIS platforms (HiBob experience is advantageous).
  • Positive, collaborative, and proactive approach to work.
  • Genuine interest in HR and employee experience.
