POSITION REQUIREMENTS

Education and Experience:

  • Bachelor’s degree in Business Administration with an HR concentration, Human Resources, Finance, Information Systems, or a related field
  • Minimum 2+ years of HR administrative experience and/or 1-3 years as an HRIS Specialist, with a focus on ADP Workforce Now
  • General understanding of BC employment standards and legislation
  • Proficiency in HR and payroll data management and reporting within ADP Workforce Now
  • Benefits administration experience would be an asset
  • Familiarity with payroll processing and payroll-related regulations
  • CPHR preferred but not required
  • Proficiency with Human Resource Information System (ADP or any cloud-based HRIS)

HR Department General Support:

  • Conduct research and provide reports on HR trends and best practices specific to the education industry.
  • Review and update handbooks, policies, and procedures.
  • Develop, review, and make recommendations for changes to existing policies, procedures, guidelines, etc., to improve effectiveness and efficiency.
  • Ensure compliance documentation is complete, including developing and updating job descriptions, preparing documents for audits, and ensuring all compliance documentation is complete.
  • Maintain confidential HR documents and files, ensuring all required documentation is provided and up to date.
  • Provide employee day-to-day general support by answering questions related to their terms of employment, policies, employee relations, and entitlements under applicable laws, as well as benefit assistance.
  • Support the Employee and Faculty Relations Team in HR documentation, Line Manager Coaching and other ER related duties.
  • Hands-on oversight of the day-to-day payroll activities and functions and help troubleshoot any issues.
  • Respond to payroll inquiries from employees, managers, and external agencies and contacts.
  • Assist in preparing HR Dashboard every quarter for the board.
  • Develop a working knowledge of the benefits provided by the group.
  • Collaborate and support the performance management cycle.
  • Manage the HR department’s outgoing communications (i.e., sending out HR updates)

Responsibilities:

PRIMARY PURPOSE

Reporting to the Associate Director, Human Resources, the Human Resources Advisor (HR Advisor) will take the lead on general Human Resources duties, including but not limited to Rewards and Recognition, Engagement, Data Analytics, HRIS Administration, Benefits, and payroll duties. They will organize programs that drive the development and engagement of employees, aligning with the organization’s long-term goals and objectives. The HR Advisor is customer service-oriented and exhibits a high degree of diplomacy and discretion. As the initial contact for new employees, the HR Advisor is instrumental in welcoming new hires to the University and will need to provide an outstanding integration experience.
The HR Advisor will collaborate with HR, Finance, and IT teams to ensure data accuracy, compliance, and efficient processes. The position functions in an environment where considerable attention to detail and the ability to handle highly confidential information is required.

SPECIFIC RESPONSIBILITIES

The HR Advisor will, at various times, be responsible for the following as well as other related duties as assigned to support UCW’s business objectives, mission, and purpose:

Complete Employment Lifecycle Support:

  • Partner with Recruitment Team and hiring managers to ensure a seamless onboarding process for new employees.
  • Manage the complete pre-onboarding and onboarding experience of new employees.
  • Communicate all updates and changes to applicable UCW community members prior to the arrival of new employees.
  • Enter and process all onboarding documents in the HRIS and other HR systems (e.g., ADP Workforce Now, HR Dashboard, etc.).
  • Coordinate with IT for new employee account creation, as well as updates to the mailing lists.
  • Support Payroll Team with new employee documentation, including tax forms.
  • Facilitate and conduct Meet & Greet interaction on the first day of employment, New Hire Orientation, and Campus Tours for new employees.
  • Support management of HR Calendar for the purpose of scheduling appointments and related items for new employees, including, but not limited to check-ins, probationary goal setting, end of probation, etc.
  • Research and establish best practices to enhance onboarding experience for new hires.

HRIS Administration & Support:

  • Support the day-to-day operations of the HRIS platform, ensuring data integrity and accuracy.
  • Analyze the existing HRIS platform modules and capabilities to understand and document functionality.
  • Identify opportunities for automation to streamline HR and payroll processes and reduce manual efforts.
  • Conduct gap analysis and identify risks in the implementation of the HRIS platform and assess options for process improvement.
  • Perform advanced levels of analysis, problem-solving, and research skills to formulate solutions to complex business needs.
  • Maintain documentation regarding various processes and workflows on the HRIS platform.
  • Provide support and training to HR and Finance staff and end-users in utilizing the HRIS platform effectively.
  • Participate in the evaluation, testing, and implementation of ADP Workforce Now upgrades and enhancements.
