Job Summary:
We are seeking a meticulous and proactive HR & Admin Executive to join our team at a maid agency. This role is essential in ensuring smooth operational support across payroll, supplier payments, travel arrangements, and administrative coordination. The ideal candidate will be organized, detail-oriented, and capable of managing multiple responsibilities with efficiency and discretion.

Key Responsibilities:

  • Payroll Management
  • Process monthly payroll for domestic helpers and internal staff
  • Ensure timely salary disbursements and statutory compliance
  • Payments & Financial Coordination
  • Handle payments to suppliers, utilities, and service providers
  • Manage air ticket bookings and payments for helpers’ travel
  • SIP Booking & Payment
  • Coordinate Settling-In Programme (SIP) bookings for new arrivals
  • Ensure accurate and timely payment processing
  • Helper Arrival & Departure Arrangements
  • Organize logistics for helpers’ arrivals and departures
  • Liaise with transport providers and clients for smooth transitions
  • Application Monitoring
  • Track and update the status of online applications (e.g., work permits, renewals, IPA)
  • Communicate with relevant authorities and clients as needed
  • Registration/Deregistration of EA peronsonel
  • Invoice Filing & Accounting Prep
  • Maintain organized records of invoices and receipts
  • Assist in preparing documents for accounting and audit purposes

Requirements:

  • Prior experience in HR or administrative roles (experience in maid agency preferred)
  • Proficiency in Microsoft Office (Excel, Word) and online application portals
  • Strong organizational and multitasking skills
  • Excellent communication and interpersonal abilities
  • Ability to work independently and handle confidential information
