The HR Coordinator will be a wide-ranging role supporting all aspects of the EMEA People Operations and Benefits Function. This role has a wide remit which includes; HR and Benefits Coordination along with timely support to our HR Administration team for all EMEA based queries / escalations.
The position will work across all business groups and support international initiatives and will receive training in Workday, a best-in-class HR Platform. This is a role with an international focus so training and resources to help the HR Coordinator will be available on an ongoing basis as required.
This is a hybrid role, with the majority of time working from home but with occasional presence in our local office. The hours are flexible and will mostly include standard UK working hours, however, some early and late meetings to work with colleagues in other geos may be needed on rare occasions. Fully paid, infrequent travel to some of our other offices (UK, Europe & US) may be required from time to time.
General Duties and Responsibilities (this list is not exhaustive):
- Benefits Coordination and Management
- In conjunction with our external partners, support the annual renewal process for all EMEA Benefits including provision of accurate employee census data.
- Working with external partners to maintain the general administration of our policies and ensuring accuracy in terms of our current headcount and employee details.
- Support the annual enrollment programme for EMEA Benefits including participating in the employee communications, system administration and coordination with relevant internal and external partners.
- Will be the Flexera escalation point for all EMEA benefit related queries beyond basic administrative requests.
- Maintain EMEA Benefits section within ‘The HUB’ which is an internal site with all key benefit information and contact details.
- General HR Responsibilities;
- Coordinating all forms of employee leave throughout EMEA region, including but not limited to Maternity Leave, Shared Parental Leave, etc.
- Lead, advise and where appropriate formally document Flexible Working requests and arrangements.
- Management of employee absence including liaising with Occupational Health consultant where appropriate.
- Preparation of ad-hoc employee reports, e.g. headcount, work anniversaries, etc.
- Own the invoicing / PO process for incoming invoices relating to HR and Benefit associated costs.
- Provision of support to the broader HR Team as required for issues such as taking minutes of meetings, preparation of bespoke documentation, etc.
- Conduct new hire day 1 / onboarding inductions and help welcome employees to the Company.
- Primary escalation point for HR Administrators for support and advancing more complex matters in an appropriate manner.
- Maintain Visa tracker and provide timely alerts where required.
- Producing reports for various data requests which will be required on a ad-hoc basis
- Work alongside HR Administration colleagues to ensure an accurate and timely input to Payroll department.
- Support complex EMEA country specific matters such an annual leave calculations and other leave requests.
Qualifications & Experience:
- Understanding employee benefits and associated processes, procedures, and administrative requirements
- Thorough understanding and application of general HR responsibilities
- Demonstrable experience leading all aspects of HR documentation and administration
- Ability to provide HR and Benefits support to an EMEA wide business group
- Understanding of operations and purpose of HR Systems (ideally Workday) is essential
- Highly organized, self-motivated and able to work independently
- Strong working knowledge of Excel, Word and Power Point is necessary
- Ability to thrive in a fast moving and changing environment
- High sense of personal responsibility in completing work on time and with a high level of accuracy
- Experience supporting vendor relationships to ensure administrative accuracy
- Knowledge and ability to support all general aspects required of the HR team.
- Ability to work with confidential materials and employee information and maintain confidentiality at all times
- An HR or Business-related degree would be desirable but is not essential.
