COMPETENCIES / SKILLS / KNOWLEDGE / EXPERIENCE

  • Proven experience working in a HR team in an administrative capacity.
  • Experience using Workday would be advantageous but not a prerequisite.
  • At least a basic level of understanding of current UK employment law.
  • Excellent time management skills - displays ability to work in a fast-paced environment with frequent deadlines without compromising accuracy.
  • Strong IT skills (Excel, Word, PowerPoint and in-house HRIS system).
  • Ability to build and develop successful working relationships with all colleagues.
  • Excellent and proactive communication skills, both written and verbal.
  • Confident note/minutes taker.
Responsibilities

ROLE DESCRIPTION

The HR Assistant will support and assist the HR Advisor and HR Managers in delivering accurate, timely, and efficient internal service to the business and its affiliates’ multi-site Client Group. This role will be the first point of contact for all HR-related queries. The HR Assistant will also assist the SVP HR, UK, as required.

WHAT THE ROLE INCLUDES

  • Administer all employee contracts and amendments promptly and accurately, ensuring they are sent, co-signed and saved onto digital files.
  • Undertake accurate HR administration in a timely manner. Effective support for the HR Team, enabling constant improvements for the department and the business.
  • Administer HR-related documentation and employee files, ensuring that all relevant documents, such as visa checks/right to work documentation, contracts and amendments, job descriptions, are always accurately kept digitally on file.
  • Coordinate sending HR communications to the Communications team weekly.
  • Administer onboarding for new starters. This includes sending out welcome emails, ensuring contracts and ensure right to work checks are completed and filed. Ensuring Workday onboarding and background checks are completed.
  • Draft Employee Relations letters, i.e. grievance, maternity, disciplinary, dismissals etc.
  • Own the maternity process after successful completion of probationary period.
  • Ensure visa records are updated in Workday, run reports on visa expiry dates, and follow up with employees and HR Advisor.
  • Provide proactive support for the HR Advisor and HR Managers in project work as and when required to develop the HR function.
  • Take accurate minutes of any HR-attended meetings such as disciplinary and grievance hearings and deliver completed notes within the agreed time frame.
  • Coordinate Learning and Development training events facilitated by the HR department – including, liaising with external training providers to schedule suitable dates and times, book venues/ meeting rooms/ Zooms, catering training equipment, delegate invitations, and attendee lists. Ensure all schedules training is in delegates outlook diaries.
  • Assist the relevant trainer with the setup/clear down of each event on site.
  • Assist the Head of Recruitment and Recruitment Assistant in coordinating Internship Assessment Days.
  • First point of contact for HR-related queries and ensures queries are responded to promptly.
