Job Title: Human Resources Administrator/ Human Resources Assistant
Reports to: Business Manager/Human Resources Partner/ Assistant Bursar

Responsibilities

ROLE OUTLINE AND ACCOUNTABILITIES:

The postholder will undertake and lead on all administrative tasks and processes associated with recruitment, onboarding, staffing, terms and conditions of employment, holidays, leave and policies and procedures across the College. They will ensure through direct ownership that the Single Central Record, is maintained, accurate and up to date at all times. The postholder will work alongside internal and external stakeholders to support the efficient and effective delivery of HR Services.

DUTIES AND RESPONSIBILITIES

-To ensure that the Single Central Record is maintained, updated and ready for inspection at any time
-To provide an accurate, efficient and effective HR administration service to all managers and staff and to contribute to the efficient operation of all HR related activities
-To be the first point of contact for all managers and staff regarding HR queries, dealing with those initially and/or signposting them to the right person.
-To oversee and administer the recruitment and selection process including:
- assisting with the review or creation of Job Descriptions
- advertising vacancies
- monitoring and collating application packs and forms
- supporting with shortlisting processes and providing guidance/support to managers
- arranging and co-ordinating interviews including meet and greet at interviews, interview testing liaison, undertaking ID, Right to Work (RTW) and Safer Recruitment checks and verifications at interview
-To be responsible for all administrative tasks associated with onboarding a new starter including:
-completion of any outstanding pre-employment checks such as references, DBS, Pre-employment Medical Check and checks required by Keeping Children Safe in Education (KCSIE) and the College’s Recruitment Policy
-to ensure that offer letters, contracts, training agreements etc are issued in a timely manner
-co-ordinate the induction and probationary processes
-To produce a range of HR letters and correspondence (e.g. variation to contract letters, maternity, leavers etc from standard templates and with support from the HR Partner, Headmaster, Business Manager and other senior managers.
-To calculate, administer, update and record Staff Holiday Forms, Self Certificate and Return to Work Forms, FitNotes and the Annual Update and Declaration Forms for all staff
-To ensure that accurate information is provided to the accounts team in a timely way to ensure that staff receive correct salary payments each month
-To maintain staff personnel files and ensure that accurate and appropriate records are kept in line with GDPR
-To accurately maintain and update the Staff Handbook as directed, timetabling the review of policies and procedures and working collaboratively with other stakeholders
-To undertake and assist with HR data input, analysis and reporting as required, ensuring GDPR compliance
-To initially deal with employee queries regarding HR policies and procedures, holiday and absence queries, family friendly leave request, pay and benefits and/or signpost them to the right resource for help e.g. payroll, their line manager, HR Partner, pension providers
-To work closely with and assist the HR Partner and other key stakeholders on various projects
-To help actively promote and support the College’s responsibilities towards wellbeing and mental health of colleagues, pupils and oneself
-To review and evaluate HR administration processes to drive improved practice and delivery
-To undertake regular safer recruitment training
-To treat all pupils with dignity, observe proper boundaries and understand that every adult at the College has a responsibility to safeguard children and young people.
-To provide general administration support to the admin team as required
-To carry out any other reasonable duties as requested by the Headmaster, Business Manager or your line manager
