WHO WE ARE SUPPORTING

The NATO Communication and Information Agency (NCIA) is responsible for providing secure and effective communications and information technology (IT) services to NATO’s member countries and its partners. The agency was established in 2012 and is headquartered in Brussels, Belgium.

The NCIA provides a wide range of services, including:

  • Cyber Security: The NCIA provides advanced cybersecurity solutions to protect NATO’s communication networks and information systems against cyber threats.
  • Command and Control Systems: The NCIA develops and maintains the systems used by NATO’s military commanders to plan and execute operations.
  • Satellite Communications: The NCIA provides satellite communications services to enable secure and reliable communications between NATO forces.
  • Electronic Warfare: The NCIA provides electronic warfare services to support NATO’s mission to detect, deny, and defeat threats to its communication networks.
  • Information Management: The NCIA manages NATO’s information technology infrastructure, including its databases, applications, and servers.

Overall, the NCIA plays a critical role in ensuring the security and effectiveness of NATO’s communication and information technology capabilities.

ESSENTIAL SKILLS AND EXPERIENCE

  • Seasoned administrative support experience;
  • Experience in working in a multinational and high demand environment;
  • Experience in independently setting up meetings and workshops, focusing on the wider picture to deliver the best possible attendee experience;
  • High level of attention to details and customer focus;
  • Prior experience supporting the implementation of Software as a Service applications for HR;
  • HCM implementations/upgrades;
  • Ability to work on all project phases: Project Preview, Fit/Gap Analysis, Testing, Production Support.
Responsibilities
  • Support the HR Technology Specialist in support in the day to day work and ad-hoc projects as needed and therewith enable continuous service provisions, especially during peak periods where presence is required;
  • Provide proactive administrative support on a variety of subjects;
  • Draft and coordinate PowerPoint presentations;
  • Independently arrange meetings and workshops, to include room reservations, documentation preparation, drafting meeting notes, etc.
  • On behalf of the HR Technology Specialist, attend and support meetings and workshops related to Digital CPO;
  • Provide functional support related to Digital CPO applications, such as Oracle HCM Cloud, Oracle Business Intelligence, Taleo Recruiting and Onboarding modules;
  • Independently capture application change requests, provide impact analysis on other modules and applications and generate progress recommendations;
  • Support the HR Technology Specialist in advising the CPO Team and internal stakeholders on options, risks, and any impacts on other processes or systems;
  • In relation to the anticipated replacement of the current applicant tracking system:
  • Provide functional support;
  • Review and update any business requirements and assist mapping them to the functionality of the new system;
  • Support functional/technical design workshops;
  • Prepare communications, status and issue reports and updates to the CPO team, the project team and other internal stakeholders on a regular basis;
  • Share knowledge with the CPO team to continually improve implementation methodology;
  • Prepare training material, arrange training sessions and support the training provision
