HR Assistant
Based at: Viking House, Northolt, UB5 5QS
Reporting to: HR Manager
Hours: 20 to 25 hours per week. 4 to 5 hours per day Mon – Fri 09.00-14.00 ideally, but with some flexibility.
Salary: £14.50 per hour

JOB OVERVIEW

We are seeking a motivated and detail-oriented Human Resources Assistant to join our dynamic HR team of 4. This role is essential in supporting various HR functions and ensuring the smooth operation of our human resources department. The business is currently around 115 employees and growing. This is a varied role in which the successful candidate will have experience posting job adverts, reviewing applications, managing interviews and their outcomes. Onboarding new starters and helping assist with their journey. Managing important dates and anniversaries which impact payroll. Supporting with payroll preparation. This is an opportunity for a well organised, quick learner to use their experience in recruitment and HR to develop their own position within the company.
Must have own transport with business use insurance. Mileage allowance paid for business travel.

SKILLS/ EXPERIENCE REQUIRED

  • Recruitment and onboarding
  • HR administration
  • Knowledge of UK employment law (not essential)
  • Experience of payroll function
  • Able to communicate with staff and managers at all levels
  • Excellent attention to detail
  • Strong administrative and organisational skills
  • HR qualification is not essential but at least 2 years’ experience in a similar role is required, in particular recruitment of candidates and onboarding new starters.
  • Good Excel and general IT skills
  • Proactive approach to work

Responsibilities
  • Posting job adverts for vacancies on Indeed.
  • Communicating job vacancies to recruitment agencies and our website and socials administrator.
  • Reviewing and recording applications received.
  • Passing relevant CVs to Managers.
  • Arranging 1st and 2nd interviews for suitable candidates. Ensuring all 2nd stage interviewees complete a Todd Doors application form.
  • Delivering interview outcomes and giving feedback.
  • Reference checks.
  • Right to Work checks and keep up to date e.g. Visa expiry dates
  • Driver Licence checks.
  • Reviewing daily attendance to report absences to HR Manager.
  • Diarising probation reviews & sending out letters for end of probation.
  • Diarising 1 year parity increases and sending out letters.
  • Scanning Staff Files and storing on database.
  • Collating onboarding paperwork.
  • Keeping Emergency Contact and staff email details up to date.
  • Keeping list of First Aiders and Forklift drivers up to date and booking courses when necessary.
  • Maintaining all personnel records, scanning and adding attachments to Moorepay.
  • Working closely with the Head of HR & HR Manager on projects as required.
  • Escalating issues to the Head of HR & HR Manager as required.
  • Assisting in any investigation, disciplinary or grievance meetings.
  • Compiling reports and spreadsheets as required.
  • Ad hoc projects.
