Responsibilities

Recruitment and induction (Legal):

  • Creates requisitions in our Taleo recruiting tool, always ensuring the accuracy of data; posts and maintains advertisement relating to open job positions in appropriate job boards (Taleo, University websites and others as required)
  • Regularly and timely monitors all applications received through the different recruiting channels, especially for all positions relating to our ongoing internship program and for Trainee positions.
  • Assists with candidate outreach and pre-screening interviews for prospective candidates
  • Liaise with Universities and publishes job advertisement on their platforms
  • Publishes job advertisement on social networks
  • Coordinate applicant testing; checks test results, ensuring it is accurate and complete
  • Sets up interviews and monitors the participation of interviewers and candidates; adjusts the schedules as appropriate
  • Closely monitors the recruiting process, making sure that the candidates are moved timely through the various stages
  • Administers and collects evaluation questionnaires from interviewers after the interviews
  • Tracks, updates, and processes candidates in Applicant Tracking System (Taleo)
  • Help coordinate the Firm’s participation in job fairs and other campus recruiting events
  • Responsible for the recruitment of interns for our ongoing internship program, publishing positions on the internal platform and liaising with Italian Universities
  • Assists with PeopleSoft updates including the creation of new joiner and contingent worker profiles, ensuring the system is up to date and changes are processed quickly and accurately
  • Sends offer letters and welcome packages as appropriate with all necessary documents
  • Prepares induction schedules for new hire inductions and collaborate with colleagues to make sure that new joiners are onboarded smoothly. This will include compiling and maintaining accurate information on all new hires and preparing new hire announcements and materials for orientation as well supporting in the presentation of HR relevant policies and information

Recruiting (Business Services):

  • Administer appropriate applicant testing, evaluate test results when needed, ensuring it is accurate and complete
  • Participates in interviews with other HR members

Performance Management, Review Process and Employee Lifecycle:

  • Supports the annual review process as requested
  • Keeps relationships with London payroll for legal compensation and ensures that the relevant processes are complied with
  • Supports administrative HR system changes such as job change, title change, salary change, employee attribute changes, leave, etc.
  • Updates HR data as needed, such as education, certification, bar admission, JD year, Class year, Comp Year, billing rate, timekeeper number.
  • Work with the HR Coordinator to build regular, robust data reporting on key employee lifecycle activities such as new joiners, leavers etc.
  • Collaborate in the preparation of weekly reports needed to support the workload management of associates and trainees
  • Prepares holiday plans liaising with people to make sure that absence is planned appropriately
  • Monitors employees’ attendance through the relevant platform and sends data every month to payroll
  • Covers the role of safety and prevention manager, makes sure that health and safety regulations are complied with, sets up training and medical appointments for new joiners
  • Point of contact for local insurances
  • With the HR Coordinator, assists the full off-boarding process that includes leaver PANs and system updates
  • Assists and completes a variety of reports and audits for a variety of functions.

Other Duties:

  • Supports the team in the organisation of engagement activities; participates in the activities liasing with and engaging proactively the junior resources
  • Performs other HR related duties according to the needs that may arise from time to time according to the Firm’s procedures
  • Maintain strong working relationships with internal and external clients, vendors, and job applicants
