QUALIFICATIONS

Education: High school diploma or GED required; Bachelor’s degree in HR, Business, or related field preferred.
Experience: Two years of HR compliance, credentialing, or regulatory administration experience.

SKILLS, ABILITIES AND KNOWLEDGE:

  • Strong knowledge of HR compliance requirements, including I9/E-Verify, background screening, and federal/state reporting.
  • Proficiency in Microsoft Office and HRIS systems.
  • Strong organizational and time management skills, with the ability to manage multiple deadlines.
    Other: Must successfully pass a background screening process, including, but not limited to, state, local, and funder criminal background check requirements. Required to pass a drug screen in compliance with our Substance Abuse and Drug-Free Workplace policy.

Travel: Must be able to meet requirements for Eckerd’s Auto Insurance and be able to drive for business purposes.

Responsibilities

DUTIES & RESPONSIBILITIES

Credentialing & Background Screening

  • The HR Compliance Specialist ensures organizational adherence to federal, state, and industry-specific regulations governing personnel credentialing, background screening, HR reporting, and workforce compliance, with an emphasis on human service and non-profit regulatory standards.
  • This role acts as a compliance subject matter expert, interpreting HR, workforce, and agency regulations, evaluating HRIS compliance functionality.
  • Oversees credentialing processes, including results from the company’s third-party background vendor and state/federal boards.
  • Manage and document background checks, criminal record reviews, drug screenings, health screenings, fingerprinting, and other pre-hire documentation.
  • Establish a positive and proactive communication approach with new hires throughout the credentialing and pre-employment process, serving as their main HR contact to guide them through requirements, answer questions, and ensure a timely completion of all onboarding compliance requirements.
  • Track and follow up on expiring credentials, certifications, and I-9/USCIS work authorizations; oversee I-9 compliance from start to finish, including weekly new hire audits, monthly audits for expiring documentation, and timely closure of E-Verify cases.

File Management & Auditing

  • Create, maintain, and organize new hire and current employee personnel and credentialing files to meet federal, state, contract, licensing, and organizational compliance requirements.
  • Conduct weekly audits of new hire files and monthly, quarterly, and annual audits of credentialing records to ensure completeness and accuracy.
  • Maintain electronic databases (e.g., HRIS, SharePoint) to ensure all compliance documentation is current, accurate, and easily retrievable for audit purposes.
  • Prepare, submit, and respond to all required HR compliance reports (e.g., EEO-1, VETS-4212, DCF monthly background logs, Louisiana OIG/adverse action checks) and maintain a dated compliance calendar program.
