FOCUS & SCOPE

Essential duties and responsibilities, i.e. those which are basic, necessary, and an integral part of the job, are indicated below:

  • Execute day-to-day compliance activities under the direction of the Sr. HR Compliance Specialist.
  • Assist in implementing, administering, and evaluating policies and programs related to background checks, drug and alcohol testing, E-Verify, I-9 compliance, and other regulated training requirements.
  • Support administration of the company’s OFCCP EEO 16-Step program, Sexual Harassment Prevention Training, and Workplace Violence Prevention initiatives.
  • Help coordinate compliance training for federally regulated and non-regulated employees, including developing training materials, facilitating sessions, and maintaining accurate training records.
  • Communicate compliance policies, updates, and requirements to employees and leadership in a clear and timely manner.
  • Administer and maintain compliance databases, tracking systems, and calendars to ensure deadlines and requirements are met.
  • Support audit preparation by gathering documentation, preparing reports, and assisting with internal and external audit requests.
  • Prepare routine compliance reports and support federal, state, and local reporting requirements.
  • Assist in managing the company’s DOT and Drug & Alcohol programs across departments, including providing DER support and guidance as needed.
  • Lead the administration, maintenance, and training of the company’s Motor Vehicle Record (MVR) monitoring program.
  • Monitor open compliance items and track completion to ensure timely resolution.
  • Participate in compliance risk assessments, self-audits, and policy reviews; help identify gaps and propose process improvements.
  • Assist in developing and implementing practical solutions to strengthen compliance programs under the supervision of senior staff.
  • Contribute to updates of compliance-related policies, procedures, and training documentation.
  • Collaborate with internal teams and provide back-up support to HR colleagues as needed.

Role Qualifications & Requirements

Education:

  • A Bachelor’s degree in Business Administration, Human Resources, or related field or an equivalent combination of training, education, and experience.

Experience and Industry Expertise:

  • Minimum 3-5 years of experience in office administration with increasing responsibilities in Human Resources.
  • At least 2 years of experience in Human Resources, regulatory compliance, or similar technical experience with program administration.
  • Experience in construction, transportation, safety, or risk management fields a plus.
  • Experience with data management and reporting preferred.

  • Ability to learn and interpret regulations and legal documents with guidance
  • Strong attention to detail and accuracy in data management and reporting
  • Good written and oral communication skills for routine compliance communications
  • Ability to organize work, set priorities, and work effectively under supervision
  • Basic problem-solving skills with ability to escalate complex issues appropriately
  • Proficiency with MS Office Suite and ability to learn new software quickly
  • Willingness to learn HR compliance laws and best practices through training and development
  • Team player who works well in a collaborative environment
  • Ability to handle confidential information appropriately
  • Proven knowledge of FMCSA, PHMSA and DOT regulations
  • Attention to detail/accuracy, quick learner and internally motivated to seek out answers, generate ideas, and develop new skills

  • Physical: Sitting for long periods of time working on the computer or attending meetings. Job site visits require walking on uneven ground, steep slopes, and exposure to extreme temperature and/or humidity. Some lifting of materials and equipment up to 50 lbs.
