JOB SUMMARY

The HR Consulting Intern will support the Human Resources Consultant by contributing to a variety of key initiatives, with a primary focus on a departmental reorganization project. This includes assisting in the creation and revision of job descriptions, preparing employee communications and formal letters, supporting change management strategies, and performing position management updates within the HRIS. The Intern may also support other human resource activities and initiatives, contributing through data gathering, administrative coordination, research, and preparation of materials. The role offers recent graduates the opportunity to gain practical experience and/or exposure in areas such as organizational design, change management, labour and employee relations, and HR policy research.

EDUCATION

  • Recent graduate from a post-secondary program in Human Resources, Business Administration, Public Administration, or a related field.
  • Working towards or interest in pursuing Certified Human Resources Professional (CHRP) designation is an asset.

KNOWLEDGE/EXPERIENCE

  • Foundational knowledge of human resources concepts, employment legislation, and HR best practices through academic coursework or related experience.
  • Familiarity with HR functions such as job evaluation, organizational structure, and HRIS systems is an asset.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint and Outlook); experience with Visio, SharePoint, or HRIS software (e.g. PeopleSoft) is considered an asset.
  • Knowledge of Ontario employment legislation (e.g., Employment Standards Act, Municipal Act) is an asset.
  • Familiarity with or experience using AI tools or platforms (e.g., data analysis, document drafting, or process automation) is considered an asset.

SKILLS

  • Strong research, analytical, and writing skills.
  • Effective communication skills, with the ability to draft and revise job descriptions, correspondence, and communications materials.
  • Strong organizational and planning skills with attention to detail and accuracy.
  • Strong problem-solving skills with the ability to complete assigned tasks effectively.
  • Sound judgment in resolving client inquiries and issues, including knowing when to escalate matters to a Human Resources Consultant.

SUPPORT FOR DEPARTMENTAL REORGANIZATION INITIATIVES

  • Assist the HR Consultant by gathering, organizing, and analyzing organizational data such as staffing lists, job descriptions, reporting relationships, position control numbers, and department structures.
  • Prepare, update, and maintain organizational charts, staffing tables, and related visual materials to support reorganization planning and implementation.
  • Assist with the preparation, formatting, and revision of job descriptions to ensure consistency with organizational standards.
  • Draft written materials including communication memos, employee letters, presentation slides, summary reports, and status updates related to departmental reorganization projects.
  • Support the coordination and logistics for meetings, workshops, and focus groups related to reorganization initiatives, including scheduling, preparing agendas, taking meeting notes, and circulating follow-up actions.
  • Assist in tracking project timelines, milestones, and deliverables using project tracking tools or software as directed by the HR Consultant.
  • Support data gathering activities such as reviewing existing policies, procedures, collective agreements, and organizational documents to provide background information relevant to reorganization planning.
  • Provide administrative support for change management activities, such as compiling communication plans, coaching plans, and training materials under direction.
  • Conduct basic research on organizational design and change management best practices to support HR Consultant recommendations and planning.
