Responsibilities

ROLE PURPOSE:

Working as part of the HR team, the key focus of the role will be to support the HR function in the delivery of a comprehensive administration service for the Irish Group and Network & In-home Division. This role supports management level staff and performs a variety of tasks, with the primary duty to collect and manage all data pertaining to employees, with some involvement in recruiting, hiring, and inducting new employees.

PRINCIPAL RESPONSIBILITIES:

  • Supporting HR administration function including generating contracts of employment, preparing employee addendum letters, general employee correspondence letters and acting as a Note Taker
  • Set up accurate new employee records in People XD (HRIS) within given time scales for the weekly and monthly payrolls so the payroll department can process new hires
  • Set up new employees with People XD self-service access, updating leavers on People XD in a timely fashion to ensure leavers are not overpaid and making any amendments i.e. salary increases
  • Maintain data and records in People XD and carry out regular data cleansing & audit exercises to ensure accurate data is maintained. Act as key tester for HRIS upgrades
  • Onboarding of new employees by carrying out audit exercises to ensure that employees have returned their signed contract of employment, starter forms and conducting induction
  • Preparation of the weekly and monthly payroll summary files for the ROI and NI payroll
  • Monitor fixed term contract and probation expiry dates and action as required
  • Maintain an organised hard and soft copy filing system for all employee data
  • Monitor benefits & HR Comms email accounts and respond to queries in a timely fashion
  • Provide accurate reports for monthly meetings and track trends e.g. self-service usage for holiday requests, attrition, weekly reports for various departments etc.
  • Support the Recruitment function by conducting reference checks
  • Conduct Exit Interviews
  • Manage Probation Periods
  • Pension administration
  • Assist with the management of long-term sick cases
  • Draft and issue HR Comms via Constant Contact
  • Conduct Employee Surveys via Qualtrics
  • Monitor Glassdoor and Indeed reviews
  • Acting as the point of contact for all employees regarding administrative and HR support, responding to and managing their queries
  • Participating in ad hoc HR project when required
  • Provide ad hoc support to the wider HR team as requested
  • Adhere to and maintain compliance with all Health and Safety procedures within your work
