JOB DESCRIPTION – PAYROLL OFFICER

Job Purpose

The Payroll Officer is responsible for accurately and efficiently processing employee payroll in accordance with company policies and applicable UAE labour and payroll requirements. The role involves maintaining payroll records, processing salaries and allowances, handling deductions, preparing payroll reports, and ensuring timely salary payments.

Key Responsibilities1. Payroll Processing

  • Prepare and process monthly payroll for all employees accurately and within the agreed payroll deadlines.
  • Verify attendance, overtime, leave, unpaid leave, deductions, allowances, bonuses, commissions, and other payroll-related information.
  • Ensure all payroll inputs are properly authorized before processing.
  • Calculate salaries, overtime, allowances, deductions, leave salary, and other employee payments.
  • Review payroll calculations and reconcile payroll figures before final approval.
  • Coordinate with HR and Finance departments to resolve payroll discrepancies.

2. UAE Payroll Compliance

  • Ensure payroll processing is aligned with applicable UAE labour regulations and company policies.
  • Prepare and process salary payments through the company’s approved banking/payroll system.
  • Maintain accurate records required for payroll compliance and audits.
  • Keep updated on changes affecting employee payroll, benefits, leave, and end-of-service-related calculations.

3. Employee Records

  • Maintain accurate and confidential payroll and employee records.
  • Update employee information relating to salary changes, promotions, transfers, bank details, allowances, deductions, and other payroll changes.
  • Ensure all payroll documents and supporting records are properly filed and readily available when required.
  • Respond to employee queries regarding salary, deductions, overtime, leave salary, and other payroll matters.

4. Leave, Overtime & Benefits

  • Verify monthly attendance and leave records before payroll processing.
  • Calculate approved overtime and other eligible payments.
  • Coordinate with HR regarding annual leave, sick leave, unpaid leave, and other employee benefits affecting payroll.
  • Assist in the calculation of employee settlements and end-of-service benefits where required.

5. Payroll Reconciliation & Reporting

  • Reconcile payroll reports with accounting records and bank payment reports.
  • Prepare monthly payroll summaries and management reports.
  • Investigate and correct payroll discrepancies promptly.
  • Provide payroll data and reports required by HR, Finance, management, auditors, or authorized government authorities.

6. Confidentiality & Internal Controls

  • Maintain strict confidentiality of employee salary and personal information.
  • Ensure payroll information is accessible only to authorized personnel.
  • Follow established payroll approval procedures and internal controls.
  • Identify potential payroll errors and escalate significant issues to management.

Key Skills & Competencies

  • Strong knowledge of payroll processing and calculations.
  • Good understanding of UAE employment and payroll practices.
  • Excellent numerical and analytical skills.

Qualifications & Experience

  • Bachelor’s degree or diploma in Accounting, Finance, Human Resources, Business Administration, or a related field.
  • 2–5 years of relevant payroll experience, preferably within the UAE.
  • Experience handling monthly payroll for a large or multi-location workforce is an advantage.
  • Experience with payroll software, HRMS, and Microsoft Excel.
  • UAE payroll experience, including familiarity with WPS-related salary processing, is preferred.

  • Accuracy of monthly payroll processing.
  • Timely completion of payroll within established deadlines.
  • Number and frequency of payroll errors or discrepancies.
  • Timely resolution of employee payroll queries.
