The HR/Operations Administrative Assistant provides comprehensive administrative support to both the Human Resources and Operations teams, ensuring efficient coordination of people, processes, and systems. This role assists with core HR functions such as recruiting, onboarding, employee records management, and compliance tracking. It also supports operational needs, including scheduling, data entry, report preparation, and coordination of office processes, events, and projects. The position requires accuracy in data management, strong communication skills for handling internal and external inquiries, and the ability to prioritize multiple tasks in a fast-paced environment. The ideal candidate is detail-oriented, organized, and capable of maintaining confidentiality while contributing to a collaborative team culture.
Work Location: Tacoma, WA
Pay Rate: $25.00 - $26.00 per hour
Schedule: Monday – Friday, 8:30AM – 5:00PM

MINIMUM QUALIFICATIONS
- At least 1 year of administrative work experience in an office or customer service environment
- Legal authorization to work in the U.S.
- At least 18 years of age
- High School Diploma or equivalent

Essential Duties & Responsibilities
- Assist with the recruiting process including performing applicant screenings, phone interviews, and scheduling hiring manager interviews. May be required to participate in Job Fair activities including rare off-site assistance. (Approximately 35%)
- Assist with documentation including notices of disciplinary action, termination letters, and other memos. (Approximately 20%)
- Engage with employees via voice calls, texts, MS Outlook emails, and MS Teams messages to gain feedback, answer questions and concerns, and collaborate with management on the same. (Approximately 15%)
- Conduct audits of employee reports and activity for compliance with work standards and communicate findings verbally and digitally with management and human resources. (Approximately 10%)
- Perform scanning and digital filing of business documents including sensitive employee records. (Approximately 10%)
- Prepare materials for onboarding, meetings, and other business needs. (Approximately 4%)
- Handle ordering, pickup, and restocking of office and operational supplies. (Approximately 1%)
- Perform other tasks as assigned. (Approximately 5%)
