JOB SUMMARY:

The HR Onboarding Secretary is responsible for providing administrative and organizational support to the Human Resources department, specifically focusing on the onboarding process for new employees. This role ensures that all new hire paperwork, background checks, benefits enrollment, and orientation activities are completed accurately, efficiently, and in compliance with company policies and legal requirements. Acting as the first point of contact for new hires, the HR Onboarding Secretary creates a welcoming and professional experience, fostering a smooth integration into the organization.

QUALIFICATIONS & SKILLS:

  • High school diploma or equivalent required; Associate’s or Bachelor’s degree in Human Resources, Business Administration, or related field preferred.
  • Previous administrative or HR experience, preferably in onboarding or recruitment support.
  • Strong organizational skills with attention to detail and accuracy.
  • Excellent verbal and written communication skills.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and HRIS systems.
  • Ability to handle sensitive information with discretion and professionalism.
  • Customer service-oriented with a friendly and approachable demeanor.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
Responsibilities
  • Prepare and distribute new hire offer letters, contracts, and onboarding documentation.
  • Coordinate and schedule new employee orientations, training sessions, and department introductions.
  • Ensure all onboarding forms, background checks, and employment verifications are completed in a timely manner.
  • Maintain and update employee records in HR systems and personnel files.
  • Serve as a liaison between new hires, HR staff, and department managers to address onboarding-related inquiries.
  • Ensure compliance with company policies, labor laws, and confidentiality requirements.
  • Assist with benefits enrollment and provide necessary resources to new employees.
