We are seeking HR Specialist - Payroll who is proficient in ADP. This is a remote position.

Key responsibilities:

  • Perform payroll processing to ensure timely and accurate processing of by-weekly payroll using ADP.
  • Review and audit the bi-weekly payroll with the CFO to ensure proper payroll processing, such as benefit deductions, vacation accrual, holiday pay, overtime, and leave of absence validation.
  • Ensure compliance with federal, state, and local payroll, wage, and hour laws and best practices.
  • Prepare and deliver accurate and timely processing of payroll updates including new hires, terminations, and changes to pay rates.
  • Prepare reports as requested including, but not limited to, of employee earnings, taxes, deductions, and employer’s contribution for social security and unemployment.
  • Manage employee recruitment through ADP; collaborate with departmental managers to understand skills and competencies required for openings.
  • Conduct new hire onboarding including, but not limited to, offer letters, personnel files, payroll and benefit administration, and SBH electronic systems set-up.
  • Conduct new employee orientation and training on SB Humane’s personnel policies, benefits, safety programs, and administrative processes and procedures.
  • Administer employee benefits programs, ensure accurate and timely enrollment, updates, and communication; oversee open enrollment and serve as liaison with insurance carrier(s).
  • Administer worker’s compensation reports, claims, reporting, leave of absences, and serve as liaison with insurance carriers.
  • Administer employee approved leave requests, including communication, documentation, payroll or benefit adjustments, and compliance.
  • Promptly address payroll, benefit, and leave related updates and inquiries from employees and managers; manage HR@ email system; liaison with SB Humane HR consultant as-needed; keep managers apprised of information that may impact staffing and operations.
  • Respond to employee’s inquiries about payroll, benefits, and leave administration.
  • Stay up-to-date with ADP system updates, new features, and regulatory changes impacting payroll and benefits.
  • Maintain and update employee records, ensuring the accuracy and confidentiality of all data; track and report employee anniversary, mandatory training, continuing education, and performance evaluation dates.
  • Update HR documents and processes as directed; maintain SBH centralized staff platform ( Knowledge Hub).
  • Keep CFO apprised of progress, issues, concerns; make recommendations for departmental improvements to maximize efficiency and use of resources.
  • Produce departmental reports and manage special projects as directed.
  • Participate on committees and attend staff meetings as assigned.
  • Other duties as assigned.
