Summary: The HR & Talent Associate plays a key role in supporting the Boys & Girls Club of Santa Monica’s talent acquisition, recruitment outreach, and employee onboarding efforts. This position ensures a positive and efficient experience for candidates and new team members while helping maintain high-quality staffing practices across Club locations. The HR & Talent Associate will report to the Vice President of Finance & Administration and work closely with the Chief of Staff to support organization-wide workforce needs, employee engagement, and operational excellence. Recruiting & Talent Acquisition · Support end-to-end recruiting efforts for open positions across Club locations, including hourly, program, and administrative roles. · Coordinate job postings, applicant tracking, and hiring workflows within Paylocity. · Oversee resume review, candidate screening calls, interview scheduling, and communication throughout the hiring process. · Participate in recruiting events, job fairs, and community outreach initiatives, including recruiting fairs throughout Santa Monica, researching recruiting outreach opportunities as needed. Pre-Employment & Onboarding Support · Manage pre-employment processes including offer letters, background checks, onboarding documentation, BGCA requirements, and any other SMBGC requirements. · Facilitate onboarding for new staff, ensuring a welcoming and compliant start. · Travel to Club locations as needed to support onsite onboarding and training activities. · Maintain onboarding modules and workflows in Paylocity to ensure accuracy, completion, and efficiency. Orientation & Employee Experience · Coordinate and facilitate new hire orientation sessions in collaboration with leadership and program operations teams. · Ensure new team members are informed about organizational policies, culture, safety practices, and expectations. · Provide ongoing support to employees during their first few weeks of employment. Operational & Quality Support · Assist with HR-related program operations and quality initiatives that support compliance and continuous improvement. · Maintain accurate employee records and support reporting needs. · Proactively audit personnel files, onboarding/offboarding trackers, training certificates, to ensure compliance with state, BGCA, and SMBGC requirements. · Support BGCA annual audit, providing requested documentation as needed. · Collaborate cross-functionally with Program Operations, Finance & Administration, and the Chief of Staff to support workforce priorities. RELATIONSHIPS: Internal: Maintains close, daily contact with Club staff (professional and volunteer), Club members, and supervisor to receive/provide information, discuss issues, explain guidelines/instructions; instruct; and advise/counsel External: Maintains contact with external community groups, schools, members' parents and others to promote SMBGC programs and assist in resolving problems Requirements SKILLS AND COMPTETENCIES REQUIRED: • Minimum 2 years’ experience in HR, recruiting, or administrative role. • Exceptional work ethic, well organized and self-motivated. • Experience working independently and managing time efficiently. • Exceptional verbal and written communication skills, with the ability to clearly convey information to employees, managers, and external audiences. • Proven ability to multi-task, meet deadlines, and prioritize to meet goals and objectives. • A team player who enjoys working with others and aligning to achieve higher strategic goals and organizational objectives. • Ability to carry out instructions furnished in written, oral or diagrammatic form. Involves semi-routine standardized work with detail and organization • Mandatory CPR and First Aid Certifications and TB clearance OTHER JOB REQUIREMENTS: May participate in special programs and/or events. May be required to assist in other administrative areas. Assume other duties as assigned. Ability to drive or use other reasonable transportation to commute between Club sites. PHYSICAL REQUIREMENTS/WORK ENVIRONMENT: Regularly moves about the office to coordinate work. Regularly sits at a computer station and operates electronic equipment. May lifts, carries and positions objects weighing up to 25 pounds. Typically stands, bends, stoops and crouches.
