HRIS AND PAYROLL ADVISOR

The HR Information Systems and Payroll Coordinator plays a key role in ensuring accuracy, compliance, and smooth operation of HR data and payroll processes. This position oversees the effective use of HR systems and is responsible for the timely and compliant delivery of monthly payroll across the organisation.

The responsibilities of the role include (but are not limited to):

  • Ensure employee records are accurately maintained, data is protected under UK GDPR
  • Maintain, update, and ensure the integrity of employee data in the HR system (HRIS).
  • Check and reconcile time and attendance queries. Support managers and employees with timely resolution of queries.
  • Collate and verify payroll data including new starters, leavers, salary changes, overtime, bonuses, and statutory payments (e.g. SSP, SMP, SPP).
  • Prepare and process monthly payroll accurately and on time in partnership with the HRIS payroll services.
  • Maintain accurate payroll records and respond to employee payroll queries promptly
  • Issue P45s, P60s, and payslips in accordance with statutory timelines.
  • Ensure compliance with HMRC regulations, UK GDPR, Employment Law, Payroll legislation and internal data policies.
  • Process and reconcile deductions such as pensions, student loans, and attachment of earnings.
  • Support with internal and external audits, providing reports and documentation as required.
  • Monitor changes in HR/payroll regulations (e.g. National Minimum Wage, Auto-Enrolment) and update internal procedures accordingly.

ESSENTIAL QUALIFICATIONS, SKILLS AND/OR EXPERIENCE

  • Proven experience in both payroll coordination and HR systems administration.
  • Knowledge of UK payroll legislation, tax codes, statutory payments, and pension auto-enrolment.
  • Experience using HR/payroll software
  • Strong Excel skills and the ability to manipulate and interpret data.
  • Excellent attention to detail and a methodical approach to problem-solving.
  • Ability to handle confidential information with discretion.

DESIRABLE QUALIFICATIONS, SKILLS AND/OR EXPERIENCE

  • CIPD level 3 or above, or equivalent payroll qualification such as CIPP
  • Experience running complex payroll (which includes time & attendance, overtime and different pay elements)
  • Knowledge of UK employment legislation and best practice HR processes
    This role will be worked over a 4.5 day week; Monday to Thursday 08:00 – 16:45 and Friday 08:00 – 12:30. Flexibility in this role is critical to the success of supporting the team.
