Overview We are seeking a proactive, detail-oriented Virtual Assistant with strong HubSpot expertise to support sales operations and administrative tasks. This role is ideal for someone who thrives in a fast-paced environment, is comfortable with CRM management, and can help streamline processes to enable our sales team to focus on revenue-generating activities. The candidate will also be responsible for managing multiple client dashboards within HubSpot, supporting the setup, tracking, and reporting needs across accounts. Key Responsibilities HubSpot Administration: Maintain and update CRM records, ensuring data accuracy and cleanliness (“CRM hygiene”). Assign leads, contacts, and companies appropriately within HubSpot. Support the setup and upkeep of dashboards, deal pipelines, and reporting. Manage multiple client dashboards as part of HubSpot solutions provider setup. Implement and maintain best practices and SOPs for CRM usage. Executive Assistance: Manage calendars and schedule meetings for sales leadership. Coordinate and schedule candidate interviews and other key meetings. Handle preparatory work for meetings, including agenda creation and follow-ups. Operational Support: Assist with general administrative tasks that free up time for sales coaching and strategic work. Communicate effectively with team members using tools like Slack or Discord. Support time-blocking and workflow efficiency practices. Recruitment Support: Assist in sourcing and screening candidates, including reviewing resumes and video introductions (as needed). Qualifications Proven experience with HubSpot CRM administration. Experience managing multiple client dashboards within HubSpot is highly preferred. Strong organizational and communication skills. Experience supporting sales teams or executives is a plus. Ability to work independently and manage multiple priorities. Attention to detail and a proactive approach to problem-solving.
