As a member of the Human Resources team, the Human Resources (HR) Representative is responsible for assisting with the day-to-day tasks in support of other team members and Brain employees. The HR Representative will support the entire employee life cycle including areas like talent acquisition coordination, onboarding, HR database management, compliance, offboarding, communications and employee HR inquiries.
This is a temporary position with the possibity of fulltime should candidate perform as expected.

ESSENTIAL JOB FUNCTIONS:

  • Maintain, process, and audit various HR documents, records, and data for onboarding and general employee administration
  • Assist in coordinating recruiting processes, including scheduling interviews, responding to candidates, updating the ATS (Greenhouse), revising job descriptions, and managing requisitions
  • Support the internship program by reviewing resumes, communicating with candidates, scheduling interviews and events, and attending on-campus events as needed
  • Assist with audits by compiling data and retrieving necessary files or documents
  • Support administrative immigration-related tasks, ensuring timely submissions and processing (e.g., printing, compiling, filing, submitting questionnaires, and initiating cases)
  • Respond to employee, applicant, manager, and consultant inquiries, providing information and guidance as needed
  • Maintain and update HR databases and electronic filing systems (e.g., organizing employee files and HR shared drives)
  • Prepare reports on employment, headcount, turnover, and other key HR metrics
  • Ensure compliance with all applicable laws, regulations, and company obligations
  • Onboarding:


    • Initiate and monitor background screenings

    • Submit IT requests for new hires
    • Schedule and conduct orientation sessions
    • Communicate with hiring managers and new employees
    • Add new employees to the HRIS, complete I-9s, and maintain documentation
    • Offboarding:


      • Draft termination paperwork and schedule exit interviews

      • Submit termination notices and update systems accordingly
      • Communicate with departing employees and coordinate the return of company property (if applicable)
      • Ensure timely completion of all termination-related responsibilities
      • Collaborate with the Event Committee to plan and schedule employee events
      • Bring creativity and strategic thinking to foster collaboration, diversity, and inclusion across geographiesSupport benefits administration (health, welfare, and 401(k)), answer employee questions, and monitor file feeds for potential issuesUpdate and maintain labor law posters at various state, county, and city levels
      • Monitor the HR inbox and address administrative tasks (e.g., file requests, general inquiries, employment verifications); forward to appropriate HR team members as applicable
      • Manage HR-related employee communications, including sending reminders, Slack updates, and scheduling meetings
      • Maintain and update the HR website, including policies, benefits information, and meeting recordings
      • Oversee HRIS administration, processing employee changes, monitoring location updates, managing payroll-related adjustments, and updating job codes
      • Adapt to evolving HR team needs as the company grows
      • Support other duties and projects as assigned

      Education and/or Work Experience Requirements:

      • High School Diploma and 3 years of administrative experience, preferably within a HR or corporate team; OR
      • Bachelor’s Degree in HR, Business, or related field (preferred); or actively working towards completion and 1+ year of experience working in an administrative capacity, preferably within a HR or corporate team.
