Summary of Job Responsibilities: The Human Resources Coordinator at Mount Prospect Academy is a critical hands-on position requiring outstanding organizational skills. The position always requires confidentiality and professionalism. The ideal candidate possesses exceptional communication skills, both written and verbal, the ability to work independently and prioritize work, and takes a proactive approach to anticipate human resource needs. Attention to detail, team-player attitude, and strong customer service orientation are key to the success of the position.
The individual will report operationally to a site Executive Director. The individual will be responsible to assist with policies and programs for all human resource functions including, but not limited to benefits, payroll, recruitment, new hire on-boarding and orientation, safety, worker’s compensation, and compliance. The HRC will work closely with the HR team to ensure compliance with all new hires and current employees.
Responsibilities and Duties: Administrative duties including data entry, filing, and maintaining employee records.
- Assist payroll by ensuring that employees have entered hours worked in a timely manner, audit payroll submission for site under Executive Director guidance, and approve employees’ time.
- Assist with administration of company benefits, including medical, dental, FSA, medical leaves, FMLA, and LOA in conjunction with Shared Services Organization.
- Manage the hiring process for your site including job postings, social media advertising sites, scheduling interviews, screening candidates, scheduling job shadows, generating offer letters, pre-employment paperwork, and initiating on-boarding processes.
- HR On-boarding: meet with new employees and complete onboarding, including, but not limited to, reviewing job descriptions, completing compliance paperwork, reference checks, and benefit enrollment through portal, completing individual training on various topics and other miscellaneous orientation tasks.
- Responsible for helping coordinate faculty for onboarding and training via Faculty Institute (monthly training for new hires done before start date), and TCI training.
- Track and enter training records to ensure sufficiently trained employees and state compliance.
- Willingness to work on projects as needed in various aspects of human resources.
- Assist with employee questions as needed.
- Occasionally travel to other facilities within New England for meetings or training.
- Manage all-inclusive personnel files in accordance with federal and state laws.
- Administer the company’s comprehensive benefits offerings and provides customer service to employees (Medical, Dental, Vision, COBRA, Life Insurance, Disability Insurance, AD&D, Employee Assistance Programs, 403b, paid leaves and unpaid leaves, employment verifications, and other).
- Coordinate training goals, objectives, activities, recordkeeping, and progression for both existing trainings and new hire orientation.
- Conduct exit interviews and follow through of time sensitive legal obligations upon an employee’s separation from the company.
- Assist management with employee grievance and other applicable investigations as outlined within the employee handbook.
- Communicate with the Executive Director and employee when employee is out of compliance, in order to achieve compliance
- Assist in faculty wellness programming
- Assist with duties as assigned by Executive Director and/or Director of Operations.
- Other duties as assigned
QUALIFICATIONS/ REQUIREMENTS:
- Bachelor’s degree, or higher required.
- OR 3 years of HR experience with understanding of basic HR concepts.
- Excellent verbal and written communications skills.
- Authorized to work in the United States (Required).
- Satisfactory completion of background and applicable pre-employment checks
