What you should know about the role The Human Resources Specialist provides support across all areas of HR, including talent acquisition, payroll and benefits, organizational development, and company-wide initiatives. This role assists in accurate payroll processing, delivers a seamless onboarding experience, and maintains compliance with HR policies and regulations. Acting as a resource for employees and managers, the specialist resolves HR inquiries, assists with engagement programs, and contributes to projects that strengthen workplace culture and retention. Major Duties and Responsibilities Assists with bi-weekly payroll processing, ensuring accuracy and timeliness. Maintains detailed payroll records and timecards, and prepares necessary reports as required. Manages HR Helpdesk requests by prioritizing, diagnosing, and resolving issues promptly and accurately. Oversees and completes all onboarding tasks from offer acceptance through the first day of training, managing checklists and maintaining employee file documentation. Prepares communications for the new hire, hiring manager, and training team to ensure a smooth transition into the organization. Assists Organizational Development team with executing tasks associated with the Employee Fun calendar, administration of Length of Service (LOS) program, and routing reporting. Maintains employee files in compliance with applicable legal requirements. Provides guidance and interpretation of HR policies to ensure understanding and compliance across the organization. Monitors and updates HR plans, procedures, and policies as needed. Involved in a variety of projects. Works closely with HR Management and HR Business Partners to improve work relationships, build morale, increase productivity and retention. Maintains and develops professional abilities by attending educational workshops, reviewing professional publications, establishing personal networks, benchmarking best practices, participating in professional societies; and otherwise maintaining professional and technical knowledge. Must comply with applicable laws and regulations, including but not limited to, the Bank Secrecy Act, the Patriot Act, and the Office of Foreign Assets Control. Maintains compliance with federal and state regulations regarding employment. Additionally, all employees must follow policies and procedures to minimize risk by exercising judgment, raising questions to management, and adhering to policy guidelines. Requirements Experience A minimum of one year up to three years of similar or related experience, including preparatory experience. Education/Certifications/Licenses A college degree. Interpersonal Skills A significant level of trust, credibility and diplomacy is required. In-depth dialogue, conversations and explanations with customers, direct and indirect reports and outside vendors can be of a sensitive and/or highly confidential nature. Communications may involve motivating, influencing, educating and/or advising others on matters of significance. Typically includes subject matter experts as well as first level to middle managers. Other Skills Must be familiar with FMLA, ADA, HIPAA, FLSA, EEOC and other federal, state employment laws. Physical Requirements Perform primarily sedentary work with limited physical exertion and occasional lifting of up to 10 lbs. Must be capable of climbing / descending stairs in emergency situation. Must be able to operate routine office equipment including telephone, copier, facsimile, and calculator. Must be able to routinely perform work on computer for an average of 6-8 hours per day, when necessary. Must be able to work extended hours whenever required or requested by management. Must be capable of regular, reliable and timely attendance. Working Conditions Must be able to routinely perform work indoors in climate-controlled shared work area with minimal noise. Mental and/or Emotional Requirements Must be able to perform job functions independently or with limited supervision and work effectively either on own or as part of a team. Must be able to read and carry out various written instructions and follow oral instructions. Must be able to speak clearly and deliver information in a logical and understandable sequence. Must be able to effectively handle multiple, simultaneous, and changing priorities. Must be capable of exercising highest level of discretion on both internal and external confidential matters.
