Job Overview:
We are a diverse group of construction companies looking for an HR Administrative Assistant to cover a 1-year maternity leave. This role involves a range of responsibilities including employee onboarding, payroll processing, and assisting with HRIS implementation. The ideal candidate will provide support to the HR team while maintaining confidentiality and ensuring adherence to employment regulations. Acting as the point of contact for all employee inquiries, the ideal candidate will have strong relationship building skills and enjoy working with different teams, in a dynamic environment.
Salary: $45,000 - $55,000 per year, depending on experience*

DESIRED SKILLS & EXPERIENCE:

  • Post-secondary education in Human Resources, Business Administration or a related field.
  • 1-3 years of experience in an administrative or HR role, with payroll support
  • Basic accounting knowledge or experience
  • Experience with payroll processing, including ROEs and government reporting, is an asset.
  • Experience with HRIS software (Rippling) is an asset.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to handle sensitive information with professionalism and confidentiality.
  • Proven ability to multitask and manage competing priorities in a fast-paced environment.

Responsibilities:

  • Process biweekly payroll for two companies including verifying hours, tracking vacation pay, submitting reimbursements and ensuring timely submission of pay
  • Prepare and issue Record of Employment (ROE’s) as needed
  • Respond to payroll-related requests from CRA and other government agencies, such as employment verifications and compliance audits.
  • Assist in implementing and rolling out a new HRIS, including data migration, system testing, and user training
  • Support the onboarding process by preparing new hire documentation, scheduling orientations directly with new hires, coordinate with various departments for new hire needs to ensure a smooth transition for new employees
  • Create & maintain employee records into HRIS, ensuring accuracy and compliance with company policies
  • Act as point of contact for all employee inquiries related to payroll, benefit administration, RRSP program and HR policies, providing timely and accurate responses.
  • Maintain confidentiality and ensure compliance with all relevant employment laws and regulations.
  • Provide administrative support to the HR team, including scheduling meetings, organizing files, preparing reports and managing communications.
  • Assist in organizing employee engagement initiatives.
  • Support the accounting department with administrative tasks when required.
