Position Summary:
Under the direction of the Human Resources Advisor, administer the HR activities for non-academic and academic unionized and non-unionized employee groups. Act a resource person to managers, employees and academic administrators in the Faculty of Education on issues related to Human Resources policies, procedures and collective agreements for all employee groups. Process a variety of business processes on Workday related to talent acquisition, benefits, employment life cycle, leaves, compensation and payroll, terminations and retirements.
Primary Responsibilities:
- Provide support to managers and employees with respect to the day-to-day administration of human resources policies and procedures, including non-academic and non-academic, non-unionized and unionized groups of several collective agreements.
- Foster and maintain excellent working relationships with the various stakeholders. Act as a resource person to managers, employees and academic administrators on issues related to Human Resources policies, procedures and interpretation of collective agreements. Consult with Human Resources Advisors on complex cases.
- Act as contact person for the Workday system. Ensure effective processing of a variety of HR transactions (e.g. new hires, renewals, salary adjustments and corrections, leaves, payroll, retirements, terminations) along with related follow-up and correspondence, letters and documents.
- Participate in the dissemination and implementation of University personnel policies, programs and procedures throughout the unit. Address central HR requests and tickets as assigned.
- Support recruitment initiatives. Prepare job descriptions, postings, translations, assist in interviews, administer tests, verify references, make offers as needed.
- Ensure a seamless onboarding and offboarding experience for new hires and outgoing employees by verifying that all onboarding and offboarding steps are completed. Develop and maintain accurate organizational charts.
- Monitor probationary and trial periods for all new admin & support hires, transfers and temporary assignments. Follow up with employee and supervisor.
- Monitor staff members on work permits. Follow-up to ensure timely completion of work permit renewal documentation.
- Administer and give guidance on leaves (disability leaves, maternity, parental, extended parental, adoption, paternity, unpaid) ensuring proper process and documentation is provided.
- Calculate vacation entitlements, Summer Fridays for full time and part time employees. Provide information and guidance.
- Gather documentation for grievances, arbitration or disciplinary/administrative cases. Liaise with Labour Relations to ensure deadlines are respected. Identify problems and formulate preliminary recommendations to supervisor. Ensure documentation is accurate and complete.
- Compile statistics on management of human resources, produce reports and update documents as required. Ensure all record-keeping is complete, consistent and transparent.
- Participate in special projects. Plan and organize meetings.
- Perform other duties as assigned and assist as needed with backfill or overlapping of duties with co-workers.
Other Qualifying Skills and/or Abilities
- Demonstrated experience working in a human resources environment.
- Experience with University HR policies and collective agreements is an asset.
- Result-oriented with demonstrated ability to effectively plan and review work, collaborate with others, and work successfully in a group setting.
- Demonstrated experience working with information of a sensitive and confidential nature.
- Client focused and proven attention to detail.
- Excellent interpersonal skills to establish and maintain effective working relationships with various stakeholders at all levels.
- Ability to adapt and multi-task in a fast-paced environment and to carry on simultaneous projects.
- Proficient in Visio, Microsoft Office Suite (Word, PowerPoint, Excel) and Workday to pull reports and effectively track and manage information.
- Knowledge of French and English: McGill University is an English-language university where day to day duties may require English communication both verbally and in writing. The level of English required for this position has been assessed at a level #4 on a scale of 0-4.
