Position Summary: This position supports the mission and work of the Y, a leading nonprofit, charitable organization. The HR Administrator provides administrative and operational support to the Human Resources team, with a focus on HR processes, data accuracy, employee documentation, and HRIS support. The HR Administrator helps ensure efficient HR operations, positive employee experience, and compliance with YMCA of the USA and Association policies. The essential functions of this position include, but are not limited to the following: Models and teaches the YMCA core values of caring, honesty, respect, and responsibility with members, colleagues, staff, guests, volunteers, and vendors. Knows and follows all YMCA policies, rules, regulations, and procedures, including emergency and safety procedures, and those for the prevention of child abuse. Support and track completion of recruitment, onboarding, volunteer, employee documentation, and termination processes. Create and maintain employee files, including benefits, medical, and leave records, ensuring both physical and digital files are accurate and organized. Maintain and update employee records in the HRIS, including completion of HR Action Forms. Perform regular audits (e.g., minors, leave of absence, training) and generate routine and ad-hoc HR reports. Maintain LMS credentials, and assist with facilitation of required trainings. Retrieve, review, and route HR mail, ensuring relevant information reaches the appropriate parties. Assist with processing wage and employment verifications, including DSS requests, unemployment claims, Workers’ Compensation inquiries, disability documentation, income executions, and garnishment orders. Serve as the first point of contact for general HR, recruiting, onboarding, and benefits inquiries, providing timely and accurate guidance. Provide employees with general information regarding retirement, benefits, and HR-related requests, including eligibility notifications. Support staffing processes by preparing job postings, issuing offer letters, initiating background checks, coordinating onboarding tasks, and assisting with applicant tracking. Assist with special HR projects as assigned by the HR Director. Ensure HR processes comply with federal, state, and local regulations, as well as YMCA policies. Attends all mandatory meetings and trainings. Functional Expertise: Executes superior technical skills for the role Innovation: Creates and implements new and relevant approaches and activities that improve and expand the Y’s work and impact in the community Program Experience, Education, and Qualifications: Associate’s or Bachelor’s degree in Human Resources, Business Administration, or related field preferred. 2+ years of HR administrative experience preferred. Preferred experience with HRIS systems and Microsoft Office Suite. Strong organizational, communication, and interpersonal skills. Ability to maintain confidentiality and handle sensitive information with discretion. Demonstrates excellent planning, organizational, attention to detail, and time management skills Demonstrates self-direction and the ability to work independently Effective communication skills necessary to inform and support members Trainings & Certifications: Must complete New Employee Orientation, Child Abuse Prevention, Bloodborne Pathogens, Employee Safety, and Hazard Communication trainings prior to start of position.
