The Role We are seeking a highly organized and proactive Human Resources and Administration Specialist to manage our day-to-day HR and administrative functions. You will be the backbone of our employee lifecycle and office operations, ensuring smooth and efficient processes from recruitment and onboarding to payroll support and facility management. The ideal candidate is a true people person, a problem-solver, and enjoys working in a hands-on role where no two days are the same. Key Responsibilities Human Resources (50%) Talent Acquisition & Onboarding: Coordinate the full recruitment lifecycle: post jobs, screen resumes, schedule interviews, and conduct reference checks. Prepare and send offer letters and new hire documentation. Lead a seamless and engaging onboarding process for new employees, ensuring a great first-day experience. Conduct new hire orientations and ensure all paperwork is completed accurately. HR Operations & Payroll Support: Maintain and update employee records in the HRIS (Human Resources Information System) with a high level of accuracy and confidentiality. Assist with the administration of payroll by providing timely and accurate data on new hires, terminations, and changes. Manage benefits administration, including enrollments, changes, and employee inquiries. Employee Relations & Compliance: Serve as a first point of contact for employee questions regarding policies, benefits, and procedures. Support the implementation of HR policies and ensure compliance with federal, state, and local employment laws. Help organize company events, training sessions, and initiatives that boost employee engagement and morale. Performance Management: Assist managers with the performance review cycle, tracking deadlines and ensuring process completion. Administration (50%) Office Management: Manage the front desk, greet visitors, and answer main phone lines. Ensure the office is tidy, well-stocked, and fully operational; manage relationships with vendors (cleaning, supplies, catering, etc.). Oversee inventory of office supplies and kitchen staples, placing orders as needed. Facilities & Equipment and Support Act as the primary contact for office maintenance and facility issues. Manage office equipment, including printers, copiers, and postage meter. Provide administrative support to the leadership team, which may include scheduling meetings, booking travel, and preparing reports. Requirement: Proven experience (2+ years) in an HR and Administration or similar dual-role position. Solid understanding of HR principles, practices, and compliance requirements. High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Exceptional organizational skills and a keen eye for detail. Superb interpersonal and communication skills, with the ability to handle sensitive information with discretion and confidentiality. A proactive, "can-do" attitude with the ability to manage multiple priorities in a fast-paced environment.
