Description:

Starting pay $20.83/hr

The Human Resources Assistant works closely with the Human Resource team for administrative support. This position provides operational support by assisting Human Resources staff with specified projects and providing customer service to employees. The Human Resources Assistant will handle sensitive employee and company information, which requires that they maintain a high level of professionalism and confidentiality. This position assists with the administration of the day-to-day operations of the Human Resources Department.

  • Responsible for maintaining the personnel filing system to ensure all personnel files are up to date and accurate. Maintain confidentiality and integrity of files. Respond to audit requests by providing the requested information.
  • Provides administrative support to the Human Resources Department by obtaining, updating, and maintaining required documents and information necessary for data entry into the Human Resources Information System (HRIS) including those records generated during the life cycle of a Didlake employee.
  • Provides primary coverage for telephone switchboard; receives and screens all incoming telephone calls and transfers to appropriate staff.
  • Acts as the first point of contact for all GHRA Administration Office visitors, providing direction to appropriate staff and/or Didlake location.
  • Maintains the GHRA Administration Office wireless directory, petty cash, office keys, and postage meter.
  • Inventories and orders office supplies. Generates accurate and timely reports, SOPs, flow charts, and other documents required by the Human Resource Department as well as by Didlake Operations and Rehabilitation Departments for implementation of Didlake services, programs and policies.
  • Assists Benefits Administrator in routine communication to employee inquiries. Prepares benefits packets, notifications, and assist in open enrollment when necessary.
  • Explains the Didlake application process and refers applicants to Didlake’s career opportunity resources.
  • Assists with various functions related to Staffing and Onboarding such as conducting background checks and processing Everify.
  • Posts qualified resumes and applications to the hiring manager’s applications folder and enter all applicants in the applicant tracking system.
  • Tracks and maintains the Didlake GHRA applicant data pool including candidate data submitted by Project/Program Managers. Communicates and resolves data collection issues with Project/Program managers as applicable.
  • Responsible for maintaining supply of and updating new hire, training, and benefit packets as needed.
  • Assists with general administrative tasks and participating in projects as needed.
  • Complies with federal, state, CBA, and local legal requirements and corporate policies and procedures.
  • Provides leadership to staff by fostering teamwork while balancing team and individual responsibilities; gives feedback to nurture a positive team spirit and quality performance and models dependability, hard work, strong business ethics, and professional personal appearance.
  • Provides authorized information from the employee personnel records as requested for wages and employment verifications to finance companies, social security administration, housing authority services, social services agencies, etc.
  • Provides administrative support to the GHRA office and staff as required.
  • Performs clerical duties that include filing, photocopying, faxing, and preparation of routine correspondence, written and electronic.

Requirements:

EDUCATION:

  • High School diploma/GED plus two (2) years relevant HR experience. Education may be substituted for experience.

SKILLS AND ABILITIES:

  • Ability to prioritize multiple tasks is critical.
  • Strong written and oral communication skills.
  • Must possess strong interpersonal skills.
  • Ability to interact effectively with people with disabilities.
  • Proficient in Microsoft Office (knowledge of Excel is required)
