Description
Purpose The purpose of the HR Assistant role is to support the Human Resources Department in the effective delivery of HR services and the smooth execution of day-to-day HR operations. Ensure confidentiality and proper custody of personnel records at all times. The HR Assistant will be responsible for a wide range of administrative and operational support activities within the HR department, including coordinating meetings, maintaining accurate employee records and databases, and posting job advertisements. Responsibilities HR Administration and Records Management Maintain accurate and up-to-date employee records in both electronic and hard-copy filing systems, particularly for officer-level employees. Prepare part-time employment contracts and service-level agreements as directed by the Human Resources Manager. Support HR activities such as training coordination, staff surveys and documentation, such as recording minutes, and following up on action items from HR meetings. Assist in the implementation and documentation of HR policies, procedures, and processes. Support continuous improvement of HR administrative systems and processes. Coordinate HR-related activities such as meetings, training sessions, and respond to routine HR inquiries, procedures and guidelines to staff when required or as delegated by the Human Resources Manager. Recruitment Support Assist with recruitment logistics, including posting job advertisements, scheduling interviews, preparing interview packs, and maintaining recruitment files. Organise applicant documentation and maintain recruitment records. Payroll and Compliance Support Prepare a monthly report on new joiners in Mafisa, including those on Service Level Agreements and submit to the HR Manager. Submit monthly leave tracker to the HR Manager Diploma in Human Resource Management, Business Administration, or a related field (Degree is an added advantage). Proven experience as an HR Intern, HR Assistant, or in an administrative role. Proficiency in MS Office applications. Basic knowledge of labour laws and HR practices. Strong organisational and record-management skills. Good interpersonal and communication skills. High level of confidentiality and attention to detail. Reporting to the HRM
