This position plays a key role in maintaining accurate employee records, supporting recruitment and onboarding activities, processing documentation, and ensuring the smooth and efficient functioning of HR processes. Essential Duties and Responsibilities: Provide general administrative support to the HR Director and HR specialist, including filing, scanning, photocopying, and data entry. Help in maintaining and organizing personnel files, ensuring confidentiality and compliance with legal and organizational requirements. Prepare and distribute correspondence, forms, and employee communications as directed. Support the recruitment process by posting job openings, tracking applicants, and scheduling interviews. Help with the onboarding process for new employees, including preparation of new hire packets and orientation materials. Process employment changes such as status updates, address changes, and other personnel actions. Maintain HR databases and spreadsheets to ensure information is current and accurate. Assist in tracking and maintaining employee licensure, certifications, and training compliance. Help coordinate employee engagement events, recognition programs, and HR-related activities. Serve as the first point of contact for general HR inquiries and direct employees to proper resources. Assist with payroll-related paperwork and timekeeping documentation as assigned. Support HR audits, reporting, and special projects as asked. Maintain professionalism and confidentiality in handling sensitive employee information and situations. Qualifications Physical Demands and Working Conditions: Standard office environment with frequent computer use. May occasionally need to lift or move files and office materials up to twenty-five pounds. Regular weekday schedule, with occasional variation based on departmental needs. Prolonged periods of sitting and working at a computer. Occasional walking, standing, and reaching for materials. Education: High School Diploma or equivalent required: associate degree in Human Resources, Business Administrations, or related field preferred. Prior clerical, administrative, or HR experience preferred but not required. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and comfortable working with HR or payroll software systems. Experience and Required Skills: Strong attention to detail and organizational skills. Excellent verbal and written communication skills. Ability to oversee confidential information with integrity and discretion. Demonstrated ability to prioritize tasks and meet deadlines.
