JOB SUMMARY

The Human Resources Assistant plays a vital role in the Human Resources department, ensuring a seamless and positive experience for candidates and employees. This position provides critical administrative support to the HR team, with a focus on managing the entire pre-employment and onboarding process. The ideal candidate is an experienced, energetic, and detail-focused individual who is exceptionally organized, an excellent communicator, and capable of coordinating across multiple departments. We are looking for an open-minded person who wants to start a career in Human Resources, is not afraid to think outside the box, and can work both independently and collaboratively.

MINIMUM REQUIREMENTS

  • High school diploma or equivalent required; Associate’s or Bachelor’s degree in a related field is a plus.
  • 1-2 years of experience in Human Resources, recruitment, or a related administrative role is preferred.

Responsibilities
  • Manages key recruitment support tasks, including opening job requisitions, preparing and sending offer letters, and initiating pre-employment screenings.
  • Serves as the primary point of contact for candidates throughout the pre-employment process, providing clear communication and ensuring a positive experience.
  • Monitors, manages, and addresses or escalates any discrepancies that arise during the pre-employment screening process in accordance with company policy and legal guidelines.
  • Maintains accurate and up-to-date human resource files, records, and documentation while ensuring the integrity and confidentiality of all HR information.
  • Coordinates all logistical aspects of new hire orientation across multiple locations and assists with conducting sessions as needed.
  • Finalizes the hiring process by processing all new hire paperwork, ensuring data accuracy in the HRIS (Paycor), and maintaining organized employee files.
  • Collaborates with IT, Learning & Development, and other departments to ensure all necessary resources and access are prepared for new hires.
  • Answers frequently asked questions from applicants and employees relative to standard policies, benefits, and hiring processes; refers more complex questions to appropriate senior-level HR staff.
  • Provides administrative and clerical support to the HR Department, including creating PowerPoint presentations, Excel reports, and updating company communication boards.
  • Assists with Benefits Open Enrollment and Employee Relations as needed.
  • Performs other duties as assigned.
