FUNCTIONAL OVERVIEW: Employee Relations Represents company on Labor related cases Serves termination notices Facilitate exit procedure for resigned and terminated employee Processes employee separation documentation Processes and routes clearance Prepares last pay request Conducts exit interview and submit summary of exit interview Releases exit documentation Last pay Prepares Release Waiver & Quit Claim Prepares Certificate of Employment Coordinates with HR-Timekeeping & Payroll for Certificate of Contribution (SSS, Pag-ibig & PhilHealth) 2316 Counseling, grievance and discipline for all staff Conducts investigation on complaints and grievances Facilitates the resolution of any employee relations problems Counsel employee regarding work, family or personal problems Handles grievances of the employees, in a sensible manner Prepares and issues disciplinary action memorandum Account Management Conducts regular site visits for off-site accounts Brings pay slips, documents, etc. to offsite accounts Takes note on offsite concerns and discusses concerns to HR Head for immediate action Conducts Focus Group Discussions, as needed Participates in meetings that involve a range of issues as needed and/or assigned (e.g.personnel actions, regulatory requirements, actions involving outside agencies, interdepartmental needs, collective bargaining, etc.) Performance Management Ensure timely communication / execution / completion of the Performance Management Process Distribution of performance evaluation forms Records performance evaluation results Computes performance ratings Maintains performance evaluation tracking system Tracks and monitors performance evaluation Prepares employment documentation Regularization Personnel Action Memo (PAM) Compensation and Benefits Administration Administers both government-mandated and company-initiated benefits which includes government and company loans Ensures that all benefits administered are consistent to the employees’ corresponding status and level Maintains a record of all employee movement such as promotion, regularization, and merit increase / salary adjustments Handles HR Information System and 201 files Employee Engagement Works with rest of HR team on company events Conducts new hire orientation Records and Reports Management Prepares monthly and yearend reports on terminations, transfers, promotions, disciplinary action and other information required Prepare reports on complaints, counseling, grievances, surveys and other ad hoc tasks Others Performs miscellaneous clerical functions and special projects as assigned Performs general office support functions and assists personnel as necessary In the absence of HR Head, handles issues and inquiries and supply authorized information to employees related to Employee relations Other duties as assigned PERSONAL SKILLS & QUALITIES Flawless integrity, with orientation towards compliance and people management Excellent English communication skills, both written and verbal Strong business acumen, with an entrepreneurial mindset Excellent time management skills with a strong sense of urgency High energy, team orientated Excellent management / organizational skills Precise, accurate, attention to detail a must High learning aptitude with the ability to work unsupervised Confident to practice responsible transparency at all times Must demonstrate initiative and a ‘can do’ attitude – solutions-oriented and results Focused QUALIFICATIONS & EXPERIENCE Minimum of 8 years’ experience in Human Resources operations Extensive experience in PH labor laws Experience in the outsourcing / offshore staff solutions industries Must have an entrepreneurial mindset – accountable for recommendations and decisions, and a good understanding of commercial approaches Strong preference towards documentation and experience in document management is required Degree qualified, preferably Psychology or Behavioral Sciences related Willing to work in Ortigas Willing to work on a night-shift, from 10:00PM-7:00AM Willing to work on a hybrid setup (3 days onsite, 2 days work from home)
